Morley Fredericks Real Estate is seeking a highly organized, detail-oriented Senior Property Financial Operations Specialist to support the daily financial operations of our growing property management company. This is a hands-on role for someone who is comfortable managing a high volume of financial activity, keeping multiple workflows moving at once, and making sure important tasks are completed accurately and on time. The right person does not need to be a CPA or come from a traditional accounting career path. We are open to candidates with strong experience in areas such as property management, escrow, banking operations, accounts payable/receivable, trust accounting, or other high-volume financial environments. What matters most is accuracy, organization, follow-through, sound judgment, and the ability to create an efficient system for managing daily work. This is not a role where financial tasks can be batched once or twice a week. Our business requires consistent attention to invoices, payments, approvals, reconciliations, distributions, and exceptions throughout the workweek. Key ResponsibilitiesVendor Bills & Payments Monitor incoming bills and payment activity daily Enter, review, and process vendor invoices Make sure invoices are assigned to the correct property and expense category Obtain and track required approvals Follow up promptly when information or documentation is missing Process vendor payments according to established schedules Monitor outstanding bills and help prevent late or missed payments Maintain accurate vendor records and supporting documentation Research and resolve payment discrepancies Receivables & Resident Financial Activity Review incoming payments and resident account activity Research unapplied or incorrectly applied payments Assist with routine ledger corrections Apply authorized late fees, returned-payment charges, and other approved fees Monitor receivable reports and identify issues requiring follow-up Help maintain clean and accurate resident financial records Coordinate with Property Managers when payment issues require operational follow-up Owner Distributions & Property Financial Activity Prepare and process owner distributions Review property cash balances, reserves, and outstanding expenses before distributions are issued Review owner statements for obvious discrepancies Research financial questions and provide clear supporting information to ownership Help ensure income and expenses are reflected in the appropriate property and period Maintain organized documentation supporting owner distributions and property financial activity Reconciliations & Financial Controls Perform or assist with bank and trust account reconciliations Identify discrepancies promptly and work toward resolution Review transactions for coding, posting, or documentation errors Maintain recurring financial checklists, calendars, and deadlines Support month-end processes Maintain complete and well-organized financial records Help ensure documentation is consistently audit-ready Corporate Financial Operations Assist with company bill payment and expense processing Reconcile company credit card and operating-account activity Support payroll-related financial administration and expense reporting as needed Assist with month-end close activities Prepare financial documentation for ownership and outside accounting or tax professionals Help maintain organized records for corporate expenses and accounts Internal Coordination Work closely with Property Managers, maintenance staff, and administrative team members Follow up consistently when approvals or supporting information are missing Communicate clearly about deadlines, incomplete items, and unresolved issues Escalate unusual financial issues appropriately Help improve workflows and processes as the company grows What Success Looks Like We are looking for someone who naturally creates order in a busy environment. The successful candidate will be able to look at the day's financial activity and quickly identify: What needs to be handled immediately What is waiting on approval What needs follow-up What has a deadline approaching What does not look right and needs additional review This person should be comfortable managing recurring responsibilities without needing constant reminders and should take pride in keeping work current rather than allowing issues to accumulate. Strong follow-through is essential. Preferred Qualifications 3-5+ years of experience in financial operations, accounts payable/receivable, property management, escrow, trust accounting, banking operations, or another comparable high-volume financial environment Associate degree or higher in accounting, finance, business administration, or a related field preferred Equivalent relevant professional experience will also be considered Strong experience managing payments, financial documentation, and reconciliations Experience researching discrepancies and resolving transaction issues Familiarity with general ledger coding or property-level expense allocation Experience with owner distributions, escrow disbursements, or trust accounting is strongly preferred AppFolio experience is strongly preferred but not required Strong Excel skills Excellent organizational and time-management skills Strong written and verbal communication Ability to work independently and manage competing priorities High attention to detail Comfortable working in a fast-paced, transaction-heavy environment Ability to learn new financial systems and workflows quickly About the Role This is a senior individual-contributor position focused on the daily execution of financial operations. It is not a Controller, CFO, or senior financial-strategy role. The focus is on making sure that bills are paid correctly and on time, financial records stay current, distributions are processed properly, discrepancies are addressed, and routine financial workflows continue moving every day. The position works closely with ownership and the broader property management team and has the opportunity to help improve systems and processes as the company continues to grow. Schedule Full-time, in-office position This role requires regular onsite presence and close coordination with our team. Candidates with direct property-management financial operations, AppFolio, escrow, trust-accounting, or similar high-volume financial experience may be considered toward the upper end of the range.
