Job Description

About Valley Ranch Islamic Center (VRIC) Valley Ranch Islamic Center (VRIC) is a 501(c)(3) mosque and community center located at 351 Ranchview Dr, Irving, TX, serving the Muslim communities of Valley Ranch, Las Colinas, Coppell, and the greater DFW metroplex. VRIC provides five daily prayers, Jummah, study circles (halaqas), Ramadan programming, a full-time and part-time Quran School, a medical clinic, and a range of community services. Our vision is to be a leading Islamic organization providing a dynamic and innovative environment for spiritual, educational, and social activities for the entire family — and specifically for the future generation of American Muslims. Guided by this vision, our Quran School serves students from early childhood Maktab through our Full-Time Hifdh and Ijazah Track programs, with the goal of raising confident, well-grounded huffadh and scholars rooted in Qur'an and Sunnah. Position Summary / About the Role The Community Success Specialist is the operational backbone connecting VRIC's leadership, staff, and community members. Because VRIC handles everything from daily facility operations to a bustling Quran school, we need a dedicated professional to ensure smooth administrative, financial, and registration processes. In this role, you will work closely with the Treasurer to keep financial operations on track - handling everything from invoicing and reimbursements to tracking incoming donations and ensuring funds are securely and accurately categorized. You will also partner with the Quran School board and work with the Head of the Quran School to provide day-to-day support, and assist the Board of Directors with essential day-to-day operations. Because this role handles sensitive financial data, it requires a high degree of discretion and trust. This role is perfect for a highly organized, detail-oriented professional who loves helping people and keeping complex systems running smoothly.
Why It Matters:
A community center can only serve its people if its foundational operations are sound. By ensuring staff get paid, financial records are clean, and parents feel supported rather than frustrated during registration, you create the environment where VRIC's spiritual and educational programs can thrive. Your work directly impacts the peace of mind of our leadership, our teachers, and our families.
Key Responsibilities Financial Operations Support:
Work closely with the Treasurer to process invoices, ensure staff and vendors are paid accurately and on time, and manage the collection of missing timesheets.
Donation Tracking & Bookkeeping Support:
Monitor the finance inbox to identify and log incoming deposits (including those from institutional giving accounts). Maintain accurate tracking spreadsheets and coordinate with the bookkeeping team to ensure all funds are correctly categorized according to donor intent (e.g., General Operations, Expansion, Zakat).
Reimbursement Management:
Review submitted reimbursements for accuracy and proactively follow up with individuals who have not submitted their paperwork correctly.
Quran School Registration & Support:
Serve as the welcoming face and primary, year-round point of contact for parents. Act as the first stop for any questions or feedback, guide families through the registration process, and manage the coordination and scheduling of Parent-Teacher Conferences (PTCs).
Payment & Account Setup:
Ensure all registrants are set up correctly with their payment plans. Monitor accounts and respectfully follow up with families regarding unpaid dues or payment issues.
Schedule Publication:
Coordinate, finalize, and publish schedules for upcoming registrations to ensure the community is well-informed of deadlines and opportunities.
Board of Directors Assistance:
Provide reliable, general operational support for the Board of Directors, taking on varied tasks around the Islamic Center to ensure everything functions seamlessly.
Required Qualifications Experience:
Proven professional experience in operations, customer success, bookkeeping support, community center coordination, or a similar multifaceted role.
Skills:
Exceptional organizational habits, extreme attention to detail (especially with numbers and forms), and a warm, patient communication style. You must be comfortable respectfully following up with community members about payments or missing paperwork.
Technical Proficiency:
High comfort level with Google Workspace, Microsoft Office, invoicing software, and registration/CRM platforms.
Work Ethic:
Ability to juggle multiple priorities across different departments (Finance, School, Board) without letting details slip through the cracks. Compliance (Non-Negotiable): The hired candidate must pass a comprehensive background check, sign a strict Non-Disclosure Agreement (NDA), maintain absolute confidentiality regarding center finances, and securely hold sensitive community information without exception.
Core Attributes & Physical Requirements Core Attributes:
Flexibility and willingness to be onsite and available during some weekends to support peak community times, while maintaining a healthy work-life balance through flexible scheduling. A steady, patient model of high standards paired with genuine warmth.
Physical Requirements:
Ability to work onsite in a standard office/community center environment, which includes sitting or standing for extended periods, using a computer, and communicating effectively via phone and in-person. Equal Opportunity & Employment Status Employment at VRIC is on an at-will basis. Employment is contingent upon the successful completion of a background check. VRIC is not able to provide visa sponsorship at this time. Valley Ranch Islamic Center is an Equal Opportunity Employer. We celebrate diversity and are committed to creating an inclusive environment for all employees, strictly prohibiting discrimination on the basis of race, color, age, national origin, or disability.
