Job Duties and Preferred Qualifications :
Financial Specialist I | Virginia Aquarium The Virginia Aquarium & Marine Science Center is seeking a Financial Specialist I to join our Accounting team. This position supports fiscal accuracy, compliance with policies, and efficient financial operations. The ideal candidate will be capable of processing transactions with precision and adapting to evolving technology, financial systems, and procedures.
Duties :
Process and post credit card and accounts payable transactions for the Aquarium Foundation Maintain inventory records for City and Foundation assets, equipment, and office supplies Create invoices in the Aquarium Foundation's accounting system to bill for facility rentals and invoice the City for Foundation-related revenue & reimbursements Enter receipts and deposits into the Aquarium Foundation accounting system Process supply orders for vendors that use punch-out ordering Assist with processing City requisitions and purchase orders, receiving on open purchase orders, and submitting invoices for payment Process credit card payments received by the Aquarium Foundation Answer accounts payable inquiries via phone and email Process Aquarium Foundation 1099s Assist with the annual City and Foundation budgeting process Assist with reviewing and approving City procurement card transactions Prepare reconciliations and financial reports as needed or requested Assist with the month-end close process ensuring deadlines are met Oversee contracted labor billing and purchase orders, ensuring accurate review of invoices, and proper reconciliation across all associated programs for both the City and the Foundation Serve as primary backup for: Counting and reconciling daily store and admission sales and preparing bank deposits Maintaining and reconciling Aquarium Foundation petty cash Collecting cash donations from donation boxes Maintaining and managing cash room supplies and safe inventory and ensuring the stores and admissions teams have required cash and change Preparing Aquarium Foundation deposits for bank pick-up Maintaining and updating the daily receipts log, including creating and distributing payment copies
Preferences:
Two years of experience working in a financial or accounting role within a zoo, aquarium, museum or other similar attraction Two years of experience creating Excel spreadsheets to track, sort, and analyze financial data Two years of experience using financial accounting software systems (Oracle, Financial Edge, or similar systems) Associate or Bachelor's degree in Accounting or related field Experience with government procurement processes
Work Schedule :

Minimum Qualifications:
Requires any combination of education above a GED and/or experience equivalent to four (4) years in a field such as account clerk utilizing the required knowledge, skills, and abilities.
Special Requirements:
