The Representative Payee Coordinator provides professional financial management services to individuals receiving Social Security, SSI, SSDI, VA, and other approved benefits. This position ensures funds are managed responsibly to support basic needs, housing stability, and overall well-being while maintaining compliance with SSA requirements and agency policies. Responsibilities include budgeting, bill payment, financial organization, benefit coordination, and collaboration with case managers and community partners to promote stability, independence, and accurate financial documentation.
ESSENTIAL FUNCTION
Serve as the Organizational Representative Payee for assigned clients in accordance with Social Security Administration (SSA) regulations and St. Vincent de Paul North Idaho policies. Develop and maintain individualized budgets and spending plans based on client income, housing expenses, medical needs, and personal goals. Process and monitor payments for essential needs, including rent, utilities, food, transportation, medical expenses, and other approved living expenses, while ensuring proper management of client funds. Maintain accurate financial records, including client ledgers, receipts, deposits, payment documentation, account reconciliations, and required Representative Payee reports. Monitor client accounts to ensure appropriate fund management, savings, and compliance with SSA Representative Payee requirements. Report required changes regarding client circumstances, eligibility, income, address, or other benefit-related information to SSA and applicable agencies. Assist clients with budgeting skills, money management strategies, and understanding financial responsibilities that support long-term stability. Collaborate with Housing Case Managers, Social Services staff, landlords, healthcare providers, Veterans Services, and community partners to address barriers and support client success. Assist clients with accessing mainstream benefits and resources, including SSI/SSDI, Medicaid, SNAP, VA benefits, and other supportive services. Maintain confidentiality of client financial and personal information in accordance with SSA regulations, agency policies, and applicable privacy standards. Maintain complete and timely documentation, including financial records, client interactions, service notes, and supporting documentation. Participate in audits, file reviews, monitoring visits, and corrective action processes as required. Ensure compliance with agency financial procedures, record retention requirements, and Representative Payee program standards. Communicate financial decisions with clients in a respectful, trauma-informed, and client-centered manner while maintaining appropriate professional boundaries. Participate in trainings related to Representative Payee responsibilities, financial management, trauma-informed care, housing programs, and agency procedures. Transport clients to approved appointments, benefit offices, banking institutions, or community resources as needed in accordance with agency policies. Maintain professional relationships with community partners and serve as a liaison between St. Vincent de Paul North Idaho, clients, benefit agencies, and service providers. Perform other duties as assigned to support agency operations, client stability, and program effectiveness.

WORKING CONDITIONS
Work is performed primarily in an office environment with regular interaction with clients experiencing financial, housing, medical, or behavioral health challenges. Occasional community-based meetings, client appointments, and travel may be required. Position may involve exposure to emotionally stressful situations requiring professionalism, patience, and appropriate boundaries.
MINIMUM QUALIFICATIONS
High school diploma or equivalent required Experience in bookkeeping, financial management, case management, benefits coordination, or human services preferred. Knowledge of Social Security Administration Representative Payee requirements preferred. Ability to maintain confidentiality and handle sensitive financial information. Strong interpersonal, written, and verbal communication skills. Ability to work independently and collaboratively as part of a multidisciplinary team. Positive, compassionate, client-centered, and trauma-informed approach. Ability to support individuals experiencing homelessness, disabilities, financial hardship, or other barriers to stability.
