The Warranty Clerk will work closely with Service Advisors, Technicians, Parts, and Accounting departments to ensure all warranty claims are submitted, tracked, and reconciled in accordance with BMW policies and procedures. The ideal candidate possesses strong administrative skills, excellent attention to detail, and the ability to meet strict deadlines in a fast-paced dealership environment. Essential Duties and Responsibilities Review repair orders for completeness and compliance with BMW warranty requirements. Prepare, submit, and process warranty claims in a timely and accurate manner. Monitor claim status and follow up on pending, rejected, or chargeback claims. Ensure proper documentation and technician story requirements are met before claim submission. Reconcile warranty receivables and maintain accurate records of claim payments. Communicate with BMW warranty representatives regarding claim questions and audits. Assist Service Advisors and Technicians with warranty guidelines, coverage, and claim documentation. Conduct routine reviews to identify and correct warranty claim discrepancies. Maintain warranty schedules and assist accounting with warranty remittance reconciliation. Support dealership compliance with BMW warranty policies and procedures. Prepare reports for management regarding warranty receivables, submissions, and trends. Assist during manufacturer warranty audits and internal compliance reviews. Qualifications High school diploma or equivalent required; associate degree preferred. Previous dealership warranty administration experience preferred. Experience with BMW warranty systems and procedures is highly desirable. Knowledge of automotive service operations and repair order processing. Strong computer skills and proficiency with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, or similar). Proficient in Microsoft Office Suite, particularly Excel. Excellent organizational, time-management, and analytical skills. Ability to maintain confidentiality and handle sensitive information.
