Full Job Description APD (Automobile Physical Damage) Clerk Essential Duties and Responsibilities Enter, update, and maintain property damage claim information with a high degree of accuracy. Review claim files to ensure required documentation is complete and properly indexed. Utilize Microsoft Excel to organize, track, analyze, and report claim data. Create and maintain spreadsheets, pivot tables, formulas, filters, and reports to support departmental operations. Verify data accuracy by comparing information across multiple systems and correcting discrepancies. Scan, upload, and electronically file claim documents. Monitor department inboxes and distribute correspondence as needed. Assist appraisers with administrative tasks related to property damage claims. Process incoming mail, invoices, estimates, and supporting documentation. Generate daily, weekly, and monthly reports for management. Maintain organized electronic records in accordance with company policies. Communicate professionally with internal departments regarding claim documentation and status updates. Perform other administrative duties as assigned. Qualifications High school diploma or equivalent required. Previous clerical, administrative, insurance, or claims support experience preferred. Strong data entry skills with exceptional attention to detail. Intermediate to advanced proficiency in Microsoft Excel, including: Formulas (SUM, IF, VLOOKUP/XLOOKUP preferred) Sorting and filtering data Pivot Tables Conditional formatting Basic chart creation Proficiency in Microsoft Office Suite (Word, Outlook, Excel). Ability to learn multiple computer systems quickly. Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to prioritize workload and meet deadlines in a fast-paced environment. Ability to handle confidential information professionally. Effective interpersonal skills and a collaborative work ethic. Self-motivated with the ability to work independently and as part of a team. Physical Requirements Prolonged periods of sitting and working at a computer. Frequent use of keyboard and mouse. Preferred Qualifications Experience working in an insurance or claims environment. Familiarity with claim management software. Experience handling large datasets and generating Excel reports. Knowledge of automotive repair estimates or property damage claims is a plus.
