We are looking for aReal Estate Loan Administrator in Irvine, CA. This role focuses on securing the accuracy and compliance of our real estate transactions from loan approval to funding. By meticulously reviewing due diligence—including surveys, title reports, and settlement statements—and partnering directly with borrowers, attorneys, and closing agents, you will safeguard bank policies and drive a seamless transition from loan closure to active disbursement.
Primary Job Duties:
Loan Documentation & Review:
Borrower name is correct, and spelling is correct Interest rates, dates, dollar amounts are all correct Covenants are worded correctly and match approved Credit Presentation ("CP") (this is a team effort with Middle Office) Complete a final review of covenants in Credit Lead to ensure analyst has built the covenant correctly and property tied them to the transaction. Loan Terms throughout the CP Narrative, Loan Documents, and Credit Lead/Face Pages must all match Guarantor Information is correct, and amount of guaranty matches approved CP File all loan documents into O Drive under the Legal Docs sub directory for all active & new loans
Credit Lead Input:
Input new deals in Credit Lead Confirming/Obtaining Beneficial Ownership Information Creating new profiles in Credit Lead as needed Update Credit Lead with Borrowing Entity Information Track and submit exceptions in Credit Lead for items needed prior to closing Image documents to the correct levels in Credit Lead Cancel/withdraw loans as needed Monitor Loans for
Reg B Compliance:
Monitor for new deals Input any updates from RM Process extension &/or additional request letters Sending reminders to RMs as Reg B approaches Address upcoming deadlines in Pipeline Meetings bi-weekly Inputting Reg B memos, information, and documents into Credit Lead Loan Closing/Working with
Loan Closers:
Collect W-9 for new Borrowers/Co Borrowers (Not needed for Guarantors) Collect W-9 for funding if we are funding to anyone other than our Borrower Reach out to Middle Office when a closer is needed Work with Middle Office closer on items needed for closing Keep closers, underwriters, and RMs in the loop on all emails Help coordinate signatures on loan documents from RMs and borrowers as needed Scan, image, and send original signatures to their final destination (i.e. middle office, attorney, title, etc.) Create Sharefile folders, and pull documents from Sharefile as needed Review monthly insurance report and obtain necessary items to clear Process attorney fees in Counsel Link Process pre-documented Auto Extensions Review booked loan in BANCS for accuracy Work with accounting to process fees for canceled/withdrawn loans Gather fees, provide wiring instructions, submit MIT requests, etc.
Post-Closing Duties:
Review Post-Closing exceptions and obtain necessary items to clear prior to first draw Update list as items are cleared and add new items from new closings
Appraisal & Environmental Duties:
Submit RIMS requests for Appraisal and Environmental bids/services Send bids received to RMs Select bids when needed Work with the RIMS department to obtain and upload necessary information Track progress and download reports when completed for
RM Miscellaneous Tasks:
Prepare and send Good Faith Deposit Instructions/Invoice Update "Know Your Customer" for all borrowers and related entities Work with CORD, as needed Order O&E (Attorneys will order Title Commitments for New Loans) Requesting floods or recertifying Pull past-due loans report weekly and work with correct parties to bring loans to current Provide monthly loan statements as requested Prepare invoices as needed Make payments once received Attend monthly SME meetings for loan assistants Attend Credit Analyst meeting to provide any important updates from SME meeting LIBOR Cessation Project - Convert loans off of LIBOR to SOFR or BSBY Assist with customer questions as they reach out Process MIT requests When working with Lenders on Pipelines she will remind them to obtain John's approval for engaging attorney's prior to closing

+ Requires a bachelor's degree and 2-4+ years of residential and commercial loan processing, documentation or other directly related experience. A combination of education and experience may meet qualification. + Basic knowledge of lending procedures, documentation and systems. + Limited use and/or application of basic Real Estate loan administration principles, theories, and concepts. + Good interpersonal and communication skills, both verbal and written. + Good organizational, problem solving and analysis skills. + Ability to meet deadlines and multi-task. + Requires good time management skills. Knowledge of compliance with federal and state regulations pertaining to the banking industry. + Sound judgment and decision-making ability. + Personal computer skills including MS Office, including word processing, spreadsheets.
