Job Description
The Loan Partner - Admin is the Loan Officer's partner in protecting time and deepening relationships. You own the calendar, the inbox, the database, and the details that keep clients and referral partners feeling cared for. When this role is done well, the Loan Officer spends their time in front of people instead of in front of a to-do list, and neither of you is chasing something the other dropped. When the Loan Officer is not available, the Team Lead is your source for direction and priorities. The Top 3 Everything below rolls up to these three: Manage the Calendar and Emails Own the Client and Partner Experience Manage and Work the Database 1. Manage the Calendar and Emails You are the gatekeeper of the Loan Officer's time. Work with the Team Lead to learn and identify priorities. Set all appointments for the Loan Officer using Calendly. No exceptions, and no appointments booked around you. Confirm every appointment the day before. If you leave a message, call again the day of. Manage the Loan Officer's inbox: triage, respond where appropriate, escalate what needs the Loan Officer, and keep it clean. Build and protect time blocks on the calendar for the Loan Officer's high-value activities. Keep at least 2 call-back windows scheduled in the Loan Officer's day. Keep the Loan Officer on track with their calls and schedule throughout the day. What success looks like Zero missed or double-booked appointments. 100% of appointments confirmed the day before. Inbox handled daily, nothing important sitting unanswered. Two call-back blocks on the calendar every working day. 2. Own the Client and Partner Experience You are the director of first impressions. Every touch a client or referral partner has with this team should feel intentional.
