- Assist with the opening, processing, funding, and post-closing of commercial ransactions.
- Maintain complete, accurate, and well-organized escrow files.
- Review files regularly for outstanding documents, signatures, funding requirements, and other pending items.
- Coordinate execution and return of closing documents involving multiple parties and signing locations.
- Coordinate mobile notaries and remote/out-of-office signings as necessary.
- Track incoming original documents and signature pages and ensure closing packages are complete.
- Scan, upload, distribute, and maintain closing documents and transaction records.
- Assist with lender closing packages and delivery of completed documents to lenders and other transaction parties.
- Coordinate recording and electronic recording of documents and monitor recording status.
- Communicate professionally with clients, lenders, attorneys and other parties involved in transactions.
- Maintain calendars, closing deadlines, funding requirements, and other critical transaction dates.
- Identify missing information or potential issues and bring them to the Escrow Officer's attention proactively.
- Follow assigned matters through completion rather than waiting for repeated instructions or reminders.
- Provide general administrative and operational support necessary to keep the Department organized and transactions moving efficiently. Qualifications
- Prior title, escrow, real estate, mortgage, legal, banking, or related transactional experience preferred.
- Commercial title or escrow experience is highly desirable.
- Strong organizational skills and attention to detail.
- Ability to manage multiple transactions and competing deadlines simultaneously.
- Ability to work independently and prioritize responsibilities appropriately.
- Strong written and verbal communication skills.
- Professional demeanor when dealing with clients, attorneys, lenders, and other relevant parties.
- Strong computer skills and ability to learn title and escrow software and document-management systems.
- Ability to recognize when something is missing, incomplete, or requires follow-up.
