Job Summary The Escrow Assistant provides administrative and transaction support to Escrow Officers throughout the real estate closing process. This position helps ensure that escrow transactions are organized, accurate, timely, and compliant with company and regulatory requirements. The ideal candidate is detail-oriented, dependable, organized, and comfortable handling confidential financial and real estate information in a fast-paced environment. Responsibilities Assist Escrow Officers with the preparation, processing, and coordination of real estate transactions. Maintain accurate, organized electronic and physical records. Review contracts, purchase agreements, title commitments, lender instructions, and other transaction documents for completeness. Communicate with buyers, sellers, real estate agents, lenders, attorneys, and other parties involved in transactions. Request and track required documents, payoff information, HOA information, lender requirements, and other closing-related items. Assist with preparing closing documents, settlement statements, escrow instructions, and other transaction paperwork. Enter and maintain accurate transaction information in escrow and title software systems. Monitor transaction deadlines and follow up with appropriate parties to obtain outstanding information or documents. Assist with scheduling closings and coordinating signing appointments. Handle incoming calls, emails, and general inquiries professionally and promptly. Assist with disbursement procedures and ensure required documentation and approvals are obtained before funds are released. Maintain strict confidentiality of customer, financial, and transaction information. Provide professional customer service and help resolve routine questions or issues. Follow company policies, title insurance requirements, escrow procedures, and applicable laws and regulations. Perform other administrative and transaction-related duties as assigned. Qualifications High school diploma or equivalent required. Excellent communication skills for internal collaboration and client interaction; ability to explain complex information clearly. Basic math skills; attention to detail is critical for accuracy. Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining high-quality work standards. Previous experience in title insurance, escrow, real estate, banking, lending, or a related administrative role preferred. Strong attention to detail and organizational skills. Excellent written and verbal communication skills. Ability to manage multiple transactions and competing deadlines. Professional, courteous, and customer-service-oriented demeanor. Strong computer skills and ability to learn industry-specific software. Ability to handle confidential information with discretion. Strong follow-through and ability to work independently while supporting a team.
