JOB SUMMARY
A Construction Loan Payout Assistant assists the Construction Loan Payout Department personnel in daily responsibilities required to complete timely and accurate processing of construction loan payout requests.
ESSENTIAL JOB DUTIES
Monitor the construction loan department email inbox and print pending emails and requests throughout the day. Pull and maintain construction loan files associated with incoming payout requests and correspondence. Review and update the construction loan tracking program with all lien waivers received to date. Place files in pending status for further processing and maintain files in proper order based on date received. Sort incoming mail, courier envelopes, and internal bank run items related to construction lending. File lien waivers and supporting documentation in the appropriate construction loan file. Answer incoming phone calls and assist borrowers, contractors, title companies, and internal staff to facilitate issue resolution. Review construction payout requests received through mail, courier, or internal delivery channels for processing. Review prior-day construction payout summaries, verify balances against Premier Navigator or applicable core system, and distribute reports to loan officers. File and maintain construction progress photos in both physical loan files and shared electronic drives. Set up new construction payout files upon receipt from the loan processing department. Verify checks and applicable parties against OFAC sanctions lists in accordance with bank compliance procedures. Close and secure the construction loan department at the end of each business day. Maintain accurate records and documentation in accordance with bank policies and audit requirements. Prepare lien waiver packages and supporting documents for title companies. Perform additional duties and special projects as assigned.
TECHNICAL SKILLS NEEDED
Strong attention to detail and organizational skills. Ability to prioritize tasks and manage multiple deadlines effectively. Strong verbal and written communication skills. Ability to maintain confidentiality and exercise sound judgment. Proficiency in Microsoft Office products, including Outlook, Word, and Excel Ability to learn and utilize bank software systems, including loan servicing and document imaging systems Knowledge of construction loan documentation, lien waivers, and payout processes preferred. Ability to work independently and collaboratively within a team environment
QUALIFICATIONS
High school diploma or equivalent required. Prior banking, loan operations, administrative, or construction lending experience preferred. Experience with loan documentation, construction draws, or customer service preferred.
WORKING CONDITIONS
Work is primarily in a professional office environment within normal banking hours, with occasional additional hours as needed to meet operational deadlines. Position requires prolonged periods of sitting, standing, walking, bending, reaching, and repetitive hand and wrist movements associated with computer and office equipment. Frequent use of computers, keyboards, telephones, scanners, copiers, printers, and other standard office equipment is required. Ability to view computer screens for extended periods and accurately review detailed documents and reports. Regular handling, lifting, carrying, and filing of loan files, documents, mail trays, and office supplies weighing up to 20 pounds. Frequent movement between workstations, filing areas, storage locations, and other bank departments throughout the day. Position requires strong visual attention to detail and the ability to read and interpret financial documents, lien waivers, invoices, checks, and legal documentation. Ability to maintain focus and accuracy while managing multiple interruptions, deadlines, and high volumes of paperwork and communications. Frequent interaction with customers, contractors, title companies, inspectors, and bank personnel in person, by phone, and through electronic communication. Must be able to maintain regular and reliable attendance and perform duties in a fast-paced environment with changing priorities. Employee may be required to safely open, close, and secure department files, cabinets, and office areas at the beginning and end of the business day.
