Job Description
About Us The Heideman Group is a high-performing mortgage team at Delmar Mortgage (NMLS #243283), serving clients across Missouri, Illinois, and 39+ additional states. We pride ourselves on speed, accuracy, and a client experience that turns borrowers into lifelong referral sources. We're growing and looking for an experienced Loan Officer Assistant to join our team. The Role We're looking for a Loan Officer Assistant with prior mortgage industry experience who can hit the ground running. This isn't an entry-level position. We need someone who already understands the mortgage process and can manage the details that keep loans moving from application to closing. Core Responsibilities Manage loan files from application through closing, ensuring documentation is complete and accurate Communicate with borrowers, real estate agents, referral partners, and processors to collect and track required documentation Review income, asset, and credit documentation for completeness prior to submission Keep loan files organized and on schedule, proactively flagging anything that could delay closing Prepare and send approval letters, and other client-facing communications Coordinate with processing, underwriting, and closing teams to resolve conditions quickly Maintain CRM/pipeline data accurately and keep loan officers updated on file status Support marketing and follow-up efforts with past clients and referral partners as needed Required Qualifications Prior experience as a Loan Officer Assistant or in a similar mortgage support role is required Working knowledge of loan programs (Conventional, FHA, VA, USDA) and the mortgage process from application to close Familiarity with loan origination systems and standard mortgage documentation and terminology Strong written and verbal communication skills High attention to detail and comfort managing multiple files simultaneously Willingness to work in our Creve Coeur, MO office What Makes Someone Great on Our Team Skills get a resume through the door, but the traits below are what actually make someone thrive here: Problem-solver, not a question-asker. When something doesn't look right on a file, you dig in, check the guidelines, and propose a solution before you escalate. You bring us answers, not just questions. Self-directed. You don't need to be told what's next, you can see three steps ahead in a loan file and act on it. Calm under pressure. Closings don't always go smoothly. You stay level-headed, prioritize, and keep moving. Ownership mentality. You treat every file like your name is on it, because it is. Team-first attitude. You're generous with help, quick to communicate, and easy to work with under deadline pressure. Coachable but confident. You take feedback well, but you're not afraid to use good judgment when the answer isn't spelled out. Client-focused. You understand that behind every file is a family waiting for their approval, and you treat it that way. Why Join Us Work alongside an experienced, established mortgage team with a strong referral network Clear processes and support and real autonomy to own your files Opportunity to grow within a respected, high-volume mortgage practice
