Front Desk, Front Office, Back Office, Accounting areas, and other designated hotel operational areas Job Summary The Night Auditor is responsible for providing professional overnight Front Desk service while completing the hotel's daily financial and operational audit functions. This position assists guests with check-in, check-out, payments, inquiries, requests, and concerns while ensuring accurate posting of charges, balancing of accounts, completion of required reports, and proper closing of the hotel's daily business. The Night Auditor must maintain a high level of accuracy, confidentiality, guest service, and professionalism while working independently during overnight hours and coordinating with Front Office, Accounting, Security, Housekeeping, Engineering, Valet, Reservations, and other hotel departments.Key Relationships Internal:
Front Office, Bell/Door, Valet Parking, Reservations, Concierge, Housekeeping, Food & Beverage, Accounting, Engineering, Security, Sales, hotel management, and corporate office staff.External:
Hotel guests and visitors, vendors, transportation providers, tour representatives, and other hospitality partners. Qualifications Required High school diploma or equivalent. Previous Front Desk, Night Audit, Accounting, or hotel operations experience preferred. Strong mathematical and cash-handling skills. Ability to accurately review and reconcile financial transactions. Strong verbal and written communication skills in English. Ability to communicate professionally with guests, managers, and Team Members in person and by telephone. Basic computer proficiency and ability to learn hotel property management, point-of-sale, and accounting systems. Ability to work overnight shifts, weekends, holidays, and other scheduled hours based on business needs. Strong attention to detail and ability to work independently. Ability to maintain confidentiality of guest, financial, and hotel information. Preferred College coursework or training in hospitality, accounting, business, or a related field. Previous hotel Front Desk experience. Previous Night Auditor or accounting experience. Previous cashiering experience. Experience with hotel property management systems and point-of-sale systems. Bilingual or multilingual skills, particularly Spanish. Maintain complete knowledge of hotel services, amenities, hours of operation, room types, rates, promotions, packages, and current hotel activities. Maintain knowledge of daily occupancy, expected arrivals and departures, room availability, VIP arrivals, and group activity. Perform guest check-ins and check-outs accurately and according to hotel standards. Verify reservations, room rates, guest information, payment methods, identification, and required documentation. Establish and maintain accurate guest accounts. Process room assignments, room changes, late check-outs, walk-in guests, and other Front Desk transactions. Provide guests with information regarding hotel services, amenities, parking, transportation, and local information when appropriate. Assist with VIP arrivals and special guest requests. Handle guest complaints and concerns professionally and promptly. Document guest complaints, requests, or service issues and notify the appropriate department or manager. Follow up on guest requests to help ensure proper resolution and guest satisfaction. Accurately record and relay guest messages and other important communications. Assist with wake-up calls, mail, packages, and other guest services as assigned. Maintain guest privacy and protect all confidential guest information. Reservations and Room Management Assist with reservations and cancellations when the Reservations Department is unavailable. Verify and update reservation details as needed. Pre-register designated guests and prepare required arrival materials. Coordinate room status discrepancies with Housekeeping. Assist with room blocking and special requests. Support group arrivals and departures according to hotel procedures. Follow established procedures when the hotel is unable to accommodate a confirmed reservation. Cashiering and Financial Responsibilities Obtain and maintain assigned cashier bank according to hotel procedures. Verify opening and closing cash balances. Process guest payments accurately, including credit card, cash, and other approved payment methods. Post room charges, adjustments, corrections, miscellaneous charges, and other approved transactions. Resolve billing discrepancies and disputed charges in accordance with hotel procedures. Complete cashier closing procedures. Balance receipts and transactions at the end of the shift. Prepare required cashier reports and deposits. Secure cash, receipts, financial documents, and assigned bank at all times. Follow all Accounting and cash-handling procedures. Night Audit Responsibilities Perform the nightly audit process accurately and within established timelines. Review and reconcile hotel financial transactions for the business day. Identify and resolve discrepancies before closing the business day whenever possible. Review room revenue, taxes, payments, adjustments, and other financial activity for accuracy. Run and review required Night Audit reports. Generate and distribute daily, weekly, and financial reports to designated departments and management. Prepare revenue reports, operational summaries, and other required spreadsheets. Verify guest ledger and room status information. Research and report any unusual transactions or discrepancies to management or Accounting. Complete the daily system rollover or end-of-day process according to established hotel procedures. Ensure required financial records and audit documentation are complete and properly maintained. Systems and Technology Accurately enter, review, and retrieve information from hotel computer systems. Follow established procedures for the Property Management System, Point-of-Sale system, and other hotel technology. Perform designated overnight system procedures and end-of-day functions. Report computer, system, or technology issues to the appropriate manager or department. Maintain confidentiality and security of system passwords, guest information, and financial data. Communication and Coordination Review daily assignments, priorities, and operational updates at the beginning of the shift. Communicate with the departing Front Desk Team Member regarding pending guest issues, operational concerns, and follow-up items. Maintain accurate shift notes and document important information in the Front Office log. Communicate important guest information to appropriate departments, including special requests, room issues, VIP arrivals, and service recovery needs. Coordinate with Security, Engineering, Housekeeping, Valet, and other departments during overnight operations. Notify management promptly of significant guest incidents, safety concerns, operational issues, or financial discrepancies. Safety, Security, and Compliance Follow all hotel safety, security, emergency, and loss-prevention procedures. Protect guest room access and guest privacy at all times. Follow established procedures for issuing room keys and verifying guest identity. Maintain security of cash, guest information, financial records, and Front Office equipment. Report suspicious activity, safety hazards, incidents, or emergencies immediately. Comply with all hotel policies and procedures. Secondary Responsibilities Assist with telephone or PBX duties when required. Assist with reservation calls after the Reservations Department closes. Provide basic Concierge assistance when necessary. Assist in other Front Office areas based on operational needs. Assist guests with hotel information and property tours when appropriate. Report maintenance concerns to Engineering. Assist management with special projects and additional duties as assigned. Training Requirements Successfully complete all required Grand Beach Hotels training and certification for the Night Auditor position. Demonstrate proficiency in Front Desk, cashiering, Night Audit, guest service, safety, and hotel system procedures within the required training period. Physical and Scheduling Requirements Ability to remain standing or stationary at the Front Desk for extended periods. Ability to use a computer, telephone, and other standard office equipment for extended periods. Ability to work overnight shifts, weekends, holidays, and varying schedules based on hotel operational needs. Ability to respond appropriately to guest and operational needs throughout the overnight shift.
