We are a site development and underground utility contractor. Previous construction accounting or construction office management experience is strongly preferred. This is not simply a receptionist or general administrative position. We are looking for someone who can independently manage payroll, accounts payable, vendor payments, accounting records, and office operations. Responsibilities Process weekly payroll for approximately 50 employees. Maintain payroll records and employee information accurately and confidentially. Prepare and manage payroll-related filings and documentation, including 941s, W-2s, W-4s, and unemployment reporting . Manage accounts payable and ensure invoices are properly reviewed, approved, coded, and paid. Set up and process ACH payments , checks, and credit card payments to vendors. Enter and maintain transactions accurately in QuickBooks . Reconcile accounts and assist with month-end accounting activities. Process and track vendor, subcontractor, equipment, material, fuel, and insurance invoices. Maintain organized supporting documentation for all payments and accounting transactions. Communicate with vendors regarding invoices, statements, payments, and discrepancies. Assist management and the company's CPA with financial records and requested documentation. Maintain employee and vendor records. Answer phones and assist with general office administration as needed. Maintain organized electronic and paper filing systems. Handle multiple priorities and deadlines in a fast-paced construction environment. Work directly with the company President and project management staff. Required Qualifications Strong working knowledge of QuickBooks . Hands-on experience processing payroll and accounts payable . Experience with ACH payments, checks, credit card payments, and vendor accounts. Knowledge of payroll taxes and filings, including 941, W-2, W-4, and unemployment requirements . Strong Microsoft Excel and general computer skills. Excellent attention to detail and accuracy. Strong organizational and time-management skills. Ability to work independently and take responsibility for assigned duties. Ability to handle confidential payroll, employee, and financial information professionally. Strong communication skills and the ability to deal professionally with employees, vendors, subcontractors, clients, and management. Construction Experience Experience working for a site development, underground utility, civil construction, heavy highway, paving, general contracting, or similar construction company is strongly preferred. Knowledge of construction terminology and operations involving storm drainage, water, sewer, fire lines, heavy equipment, subcontractors, material suppliers, and job costing is a significant advantage.
