As our HR, Payroll & Benefits Manager , you will be a vital part of the administrative and finance backbone that allows our clinical team (BCBAs, RBTs, and SLPs) to focus on what they do best: delivering high-quality, hands-on care to our early learners. About the Role We are looking for a highly organized and detail-oriented HR & Payroll leader to own our employee-related operations from hire to exit. In this critical role, you will be the engine that ensures our staff is paid accurately and on time, benefits are seamlessly administered, and employee data remains strictly compliant. You will act as the vital bridge between HR and Finance. Because we operate in the specialized Applied Behavioral Services (ABS) space, this role requires a unique blend of traditional HR operations and clinical workflow management, partnering closely with our Revenue Cycle Management (RCM) and Clinical teams to tie clinical documentation directly to payroll.What You Will Own Payroll & Compensation Management End-to-End Payroll:
Execute full-cycle payroll processing, including standard hours, bonuses, reimbursements, and complex payroll corrections.Time & Attendance:
Manage comprehensive PTO tracking and enforce time-off policies.Auditing & Reporting:
Conduct rigorous payroll audits and reporting, ensuring total alignment between timesheets and our practice management system (e.g., CentralReach). ABS & Clinical Workflow Integration Clinical Reconciliation (Joint Ownership): Partner directly with RCM leadership to reconcile client hours, SOAP notes, billed hours, and paid hours, ensuring compliance and accuracy across clinical and financial systems.Operational Alignment:
Work seamlessly with Clinical and Operations teams to verify timesheet accuracy, staffing hours, and billable alignment prior to payroll execution.Approval Workflows:
Manage final approval workflows in collaboration with Clinic Administrators and People Operations leadership.HR Operations & Benefits Administration Hire-to-Exit Operations:
Execute all onboarding and offboarding processes, ensuring a smooth transition for employees at every stage of their lifecycle.Benefits Administration:
Manage benefits enrollment, process deductions accurately, and act as the primary point of contact for employee benefits support and inquiries.Compliance & Records:
Maintain impeccable employee records, ensuring full compliance with labor laws and internal company policies.Who You Will Work With Finance Leadership:
To align on budgets, salary approvals, overall affordability, and profitability. Revenue Cycle Management (RCM): To ensure financial readiness for upcoming raises, compensation changes, and to execute joint clinical/payroll workflows.People Operations:
To align on the employee handbook, HR policy enforcement, and employee relations.Administrative & Support Teams:
To match SOAP notes, ensure data accuracy, and streamline execution. (Note:
You will not be responsible for final company budget decisions or setting high-level compensation strategy, though you will provide crucial data to support these areas.)Who We're Looking For The Experience:
Proven experience in HR operations, payroll processing, and benefits administration.The Industry Knowledge:
Familiarity with healthcare or Applied Behavioral Services (ABS) workflows, specifically the relationship between session notes (SOAP notes), billable hours, and payroll. Experience with EMR/Practice Management software (e.g., CentralReach) is highly preferred.The Skillset:
Strong analytical skills with a knack for auditing and reconciling complex datasets. Excellent cross-functional communication skills to act as a liaison between Finance, Clinical, and HR teams.The Culture Fit:
