Supervisor Payroll Analyst Job Summary The Supervisor Payroll Analyst is responsible for overseeing the accurate and timely processing of payroll while providing leadership and guidance to the payroll team. This role combines advanced payroll analysis with supervisory responsibilities, ensuring compliance with federal, state, and local regulations, maintaining payroll integrity, and driving continuous process improvements. The Supervisor Payroll Analyst serves as a subject matter expert for payroll operations, audits, reporting, system enhancements, and complex payroll issues. Essential Duties and ResponsibilitiesPayroll Operations Oversee the end-to-end payroll process for all employees, ensuring accurate and timely payroll processing. Review and approve payroll transactions, including earnings, deductions, tax adjustments, retroactive payments, and other payroll-related changes. Analyze payroll data and records to identify discrepancies, trends, and areas for improvement. Ensure compliance with applicable federal, state, and local wage and hour laws, tax regulations, and organizational policies. Maintain accurate payroll records and supporting documentation. Investigate and resolve payroll discrepancies, employee inquiries, and complex payroll issues. Coordinate payroll activities with Human Resources, Finance, Accounting, and external vendors. Prepare and distribute payroll reports, reconciliations, and analytics for leadership review. Lead payroll audits and coordinate responses to internal and external audit requests. Support payroll system upgrades, implementations, testing, and process optimization initiatives. Develop, document, and maintain payroll procedures, workflows, and internal controls. Monitor payroll metrics and recommend improvements to increase accuracy, efficiency, and compliance. Supervisory Responsibilities Provide day-to-day leadership, direction, and support to Payroll Specialists, Payroll Coordinators, and other payroll staff. Assign, prioritize, monitor, and review payroll-related work to ensure quality standards and processing deadlines are met. Train, mentor, and develop payroll team members on payroll procedures, systems, regulatory requirements, and best practices. Ensure appropriate staffing coverage and workload distribution to support payroll operations. Review payroll reports, reconciliations, and transactions prepared by staff for accuracy and completeness. Serve as the primary escalation point for complex payroll matters, employee concerns, and compliance issues. Foster a culture of accountability, customer service, continuous improvement, and operational excellence. Qualifications Demonstrated experience in payroll administration, payroll analysis, or a related payroll leadership role. Strong knowledge of payroll processing, wage and hour laws, payroll taxation, and regulatory compliance requirements. Experience supervising or leading payroll staff in a fast-paced environment. Proficiency with payroll systems, HRIS platforms, and Microsoft Office applications, particularly Excel. Strong analytical and problem-solving skills with the ability to identify and resolve payroll discrepancies. Ability to interpret complex payroll data and prepare meaningful reports and recommendations. Excellent organizational skills with strong attention to detail and accuracy. Effective verbal and written communication skills. Ability to handle sensitive and confidential information with discretion. Strong interpersonal skills and ability to collaborate effectively across departments. Education and Experience Bachelor's Degree in Accounting, Finance, Human Resources, Business Administration, or a related field required. Minimum of 5 years of progressive payroll experience , including payroll processing and analysis. Minimum of 2 years of supervisory or team leadership experience preferred. Experience with ADP Workforce Now or similar payroll systems required. Experience within a healthcare, hospital, or multi-site environment preferred. Knowledge, Skills, and Abilities Advanced knowledge of payroll regulations, payroll accounting, taxes, garnishments, benefits deductions, and wage calculations. Strong auditing and reconciliation skills. Advanced Excel skills, including reporting, data analysis, and spreadsheet management. Ability to manage multiple priorities and meet strict deadlines. Strong customer service orientation and commitment to operational excellence. Continuous improvement mindset with the ability to identify and implement process enhancements.
