Position Summary The Payroll Clerk is responsible for processing accurate and timely payroll for both employees and consumers, maintaining payroll records and databases, supporting accounts payable and billing activities, preparing payroll-related reports, and providing administrative support to the finance department. This role also serves as a backup receptionist when needed and ensures compliance with agency policies, payroll regulations, and confidentiality standards. Key Responsibilities Process bi-weekly employee payroll and semi-monthly consumer payroll. Prepare payroll liability reports for management review and approval. Audit, prepare, and enter employee and consumer timesheets into payroll systems (ADP and Excel). Maintain payroll records, employee data, benefit accruals (PTO, sick leave, holidays), and payroll databases. Support accounts payable by assisting with invoicing, processing garnishments, and maintaining vendor information in Sage. Maintain payroll, accounts payable/receivable, and finance department filing systems. Deposit funds into designated bank accounts and retrieve mail from the post office. Prepare payroll information and data for required internal and external reports, including labor distribution, workers' compensation, and government reporting. Provide backup reception coverage, including answering multi-line phones, greeting visitors, and directing inquiries. Maintain confidentiality of payroll and personnel information. Comply with agency policies, safety procedures, and ethical standards. Attend staff meetings, trainings, and perform other related duties as assigned. Qualifications Required High school diploma or equivalent. Minimum of 2 years of payroll experience, including payroll processing, clerical, and data entry responsibilities. Experience using payroll software such as ADP. Proficiency with Microsoft Excel and Word. Working knowledge of payroll processes, payroll compliance, and office procedures. Strong organizational skills with exceptional attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Strong verbal and written communication skills. Ability to maintain confidentiality and exercise discretion. Professional customer service skills with the ability to interact effectively with employees, visitors, and individuals with developmental disabilities. Preferred Payroll Certificate. Experience with Sage accounting software. Experience supporting accounts payable, billing, or general accounting functions. Familiarity with payroll reporting, labor distribution, workers' compensation reporting, and government reporting requirements. Schedule & Compensation Monday-Friday (On-Site) 8:00 AM - 4:30 PM (37.5 hrs./wk.)
