Job Overview We are seeking a dynamic and highly organized Executive Assistant/Receptionist to join our team. Bi-Lingual is a plus! This role combines administrative support with office management responsibilities, ensuring smooth daily operations and seamless functions. The ideal candidate will demonstrating exceptional organizational skills, proactive problem-solving, and the ability to manage multiple priorities with confidence. You will serve as a key liaison between executives, staff, clients, and vendors, fostering efficient communication and operational excellence. This position offers an exciting opportunity to contribute to a collaborative workplace while supporting leadership in achieving strategic goals. Responsibilities Provide comprehensive administrative support to C-suite executives, including calendar management, scheduling meetings, and coordinating business travel arrangements. Organize and oversee company events, meetings, and conferences from planning through execution to ensure flawless delivery. Manage office operations by maintaining supplies, overseeing front desk activities, and ensuring a professional and welcoming environment. Handle internal communication effectively across teams via email, collaboration tools, and video conferencing software to facilitate smooth information flow. Perform bookkeeping tasks using QuickBooks or similar accounting software; manage invoicing, expense reports, and financial record keeping. Coordinate projects across departments by tracking deadlines, preparing reports, and ensuring timely completion of deliverables. Maintain confidentiality of sensitive information while managing executive correspondence and documentation with precision. Support data entry efforts, proofreading documents, transcribing meetings or notes, and ensuring accuracy in all written materials. Utilize productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and project management platforms to enhance efficiency. Facilitate communication with clients and vendors, phone systems and professional phone etiquette standards. Experience Proven experience as an executive assistant or office manager supporting senior leadership in a fast-paced environment. Demonstrated expertise in event planning, project coordination, and office management duties. Strong proficiency with business productivity software including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), QuickBooks for bookkeeping tasks, and video conferencing tools like Zoom or Microsoft Teams. Excellent organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously. Exceptional written and verbal communication skills; capable of proofreading documents and handling internal communication professionally. Experience managing calendars with attention to detail; adept at scheduling meetings across different time zones if necessary. Familiarity with handling confidential information discreetly while maintaining high levels of professionalism. Healthcare experience is a plus.
