Job Summary We are seeking a highly skilled and detail-oriented Payroll Technician Confidential to join our Steele Canyon High School team. The job of Payroll Technician Confidential is preparing and entering monthly payrolls for certificated and classified employees; monitoring payment of employee taxes, benefits, and voluntary deductions; preparing and maintaining payroll records, files and reports and submitting quarterly payroll reporting if requested by CBO. Assisting in the coordination of benefits administration and communicating with staff regarding payroll and benefits. Preparing reports for use in negotiations by the CBO and the CEO/Principal. Incumbents in this classification provide students and staff with fiscal services which in turn directly supports learning. Essential Functions Compiles data from a variety of sources for the purpose of complying with financial, legal and/or administrative requirements. Maintains a variety of manual and electronic documents, files and/or records (e.g., employment verifications, leave, deduction and payroll information, etc.) for the purpose of maintaining an up-to-date trail for reference and ensuring compliance with established regulations. Notifies county of changes in demographic information for the purpose of ensuring that databases are updated Prepares various payroll related forms and reports (e.g., employee balances, employment verifications, IRS/EDD forms, etc.) for the purpose of documenting activities, providing written support and/or conveying information. Processes payroll information (e.g., monthly/special payrolls, time sheets, payroll data, pay warrants, voluntary deductions, benefits earned, W-4 changes etc.) for the purpose of ensuring timely and accurate issuance of pay warrants. Processes employee payroll terminations and retirements, notifies appropriate retirement systems of employee status, adjusting final pay and maintaining confidentiality of sensitive and privileged information. Maintains a variety of confidential and non-confidential manual and electronic files and records (e.g., employee records, claim files etc.) for the purpose of providing an up-to-date reference and audit trail. Reconciles payroll information for the purpose of maintaining accurate balances and complying with accounting practices. Research discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures. Responds to inquiries from employees and CBO for the purpose of providing information and/or direction as may be required. Provides reports and/or documents to management for the purpose of bargaining unit negotiations. Attends workshops as needed to stay current on payroll changes Data entry of Payroll into Aptafund system, reviewing data for accuracy and printing and distribution of payroll checks Makes monthly payments to STRS, PERS, Federal, State and all other statutory agencies. Makes monthly payments to other outside agencies as needed, (i.e., Employee Garnishments, Deferred Compensation etc.) Processes documentation from outside agencies/parties (i.e., worker's compensation claims, retired and transitional employees, court ordered adjustments and subpoenas of payroll records) Resolving discrepancies between Payroll and information from other sources (i.e., benefit providers) Communicates with employee, medical providers etc. for the purpose of processing worker's compensation claims etc. in a timely manner Maintains various fiscal information, files and records (i.e., payroll reports, employee attendance, history, withholding information etc.) in an orderly fashion for the purpose of providing easy access for the CBO and audit purposes Reconciles enrollment forms and billings to employee records (i.e., COBRA, Disability, retirement, health, FMLA, step and column etc.) for insuring accuracy of information.
