Description:
We are seeking a highly experienced and detail-oriented Payroll Specialist with advanced, hands-on expertise in Paylocity. This position is responsible for the full-cycle processing of payroll and will serve as the primary point of accountability for payroll accuracy, compliance, and reporting. Payroll is the primary and most critical function of this role. The ideal candidate must be comfortable working in a fast-paced environment with strict deadlines, high volume, and a high level of responsibility. This role requires strong analytical skills, advanced Excel capabilities, and the ability to identify and resolve discrepancies proactively. Important Note f or Applicants Fluency in both English and Spanish is a strict requirement for this role. Candidates who are not fully bilingual will not be considered . Candidates must also have direct experience using Paylocity and strong payroll processing experience.
Requirements:
Core Payroll Responsibilities:
Process weekly payroll in Paylocity for multi-state employees from start to finish Review, audit, and validate timecards, PTO, and pay adjustments prior to payroll submission Ensure payroll is processed accurately, timely, and in compliance with all applicable laws and regulations Maintain payroll data including earnings, deductions, garnishments, benefits, and tax withholdings Perform detailed payroll reconciliations and identify discrepancies before finalizing payroll Investigate and resolve payroll variances, errors, and employee concerns Maintain accurate payroll records and documentation for audits and internal controls Support year-end payroll processes including W-2 preparation and audits Communicate payroll information clearly and professionally to employees in both English and Spanish Accounting and Financial Support Prepare and support payroll-related journal entries and general ledger reconciliations Partner with Accounting to reconcile payroll, benefits, and tax liabilities Assist with month-end and year-end close processes related to payroll Review and validate payroll-related invoices and benefit deductions Ensure alignment between payroll records and financial reporting HR and Administrative Support (Secondary to Payroll) Assist with onboarding and employee data entry in Paylocity Maintain and update employee records ensuring accuracy and compliance Support benefits administration including enrollments, changes, and terminations Assist with employee communications related to payroll, benefits, and policies Support HR audits, reporting, and documentation as needed Participate in process improvements related to payroll and HR systems Required Qualifications (Non-Negotiable) Minimum 3 to 5 years of full-cycle payroll processing experience Strong, hands-on experience using Paylocity in a payroll processing environment Fluency in English and Spanish (spoken and written) is mandatory Advanced Excel skills, including data analysis, reconciliations, and reporting Experience processing multi-state payroll Strong understanding of payroll laws, tax regulations, and compliance requirements High attention to detail and ability to meet strict deadlines Ability to handle confidential information with professionalism and discretion Preferred Qualifications Experience in logistics, transportation, or similar high-volume industries Experience with weekly payroll processing Familiarity with benefits administration and payroll integration Basic accounting knowledge including journal entries and reconciliations Benefits Health, dental, and vision insurance Company-paid employee-only medical coverage (where applicable) Paid time off (PTO) and paid holidays 401(k) plan (if applicable) Opportunities for professional growth and advancement Stable and growing company environment Work Environment High-volume, deadline-driven payroll environment Payroll-focused role with accountability for accuracy and compliance Collaborative work with HR and Accounting teams Opportunity to support process improvements and system enhancements
