The Finance & Payroll supports the work of the Y, a leading nonprofit charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Finance & Payroll Coordinator at Grants Pass Family YMCA provides comprehensive administrative support, encompassing accounts payable, accounts receivable, payroll processing, and general office functions. This role ensures efficient financial operations, accurate payroll administration, and smooth functioning of the overall finance system. Creates a safe and positive atmosphere that welcomes and respects all individuals while receiving and maintaining information pertaining to the finance system, including accounts payable system, accounts receivable, and payroll system. The Finance & Payroll Coordinator will work in a team environment, under tight deadlines, with confidentiality and discretion to be always maintained.
ESSENTIAL FUNCTIONS
Payroll Administration Process bi-weekly payroll accurately and on schedule for all YMCA employees. Maintain payroll records including earnings, deductions, taxes, direct deposits, and timekeeping information. Ensure compliance with federal, state, and local payroll regulations. Reconcile payroll reports and assist with audits and reporting requirements. Respond to employee payroll inquiries and resolve discrepancies in a timely manner. Prepare and maintain payroll-related documentation, including year-end reporting and W-2 processing. Reviews and posts travel & entertainment (T&E) expenses and corporate credit card charges Reviews credit card receipts for compliance, attaches documentation, and communicates with cardholders Provide backup documents for annual audit. Human Resources Administration Support the full employee lifecycle, including recruitment, onboarding, employee changes, and offboarding. Maintain employee personnel files and HR records in compliance with legal and YMCA requirements. Serve as a trusted resource for employees and supervisors regarding HR policies, procedures, and benefits. Assist managers with performance management documentation, corrective action processes, employee concerns, and separations. Help ensure consistency, compliance, and fairness in employee relations practices. Coordinate employee training, certifications, background checks, and compliance tracking. Assist with benefits administration and employee engagement initiatives.
