On‑site Hourly Full-Time Position, $19-21/hr Position Summary The Payroll Clerk is responsible for the accurate and timely processing of weekly payroll for multiple companies. This role ensures compliance with payroll regulations, maintains payroll and employee records, supports benefits and tax billing accuracy, and provides routine headcount and payroll reporting. The ideal candidate is detail‑oriented, highly organized, and comfortable managing payroll for a multi‑entity organization. Key Responsibilities Payroll Processing Process weekly payroll for approximately 200 employees across six companies. Ensure accuracy of employee pay, hours, deductions, garnishments, and reimbursements. Review payroll data for completeness and accuracy prior to submission. Resolve payroll discrepancies and respond to employee payroll inquiries in a timely manner. Taxes, Benefits & Deductions Ensure accurate calculation and reconciliation of payroll taxes, benefits deductions, and employer contributions. Coordinate payroll‑related benefits billings and verify accuracy against payroll records. Support payroll tax filings and compliance requirements in coordination with accounting or third‑party providers. Reporting & Headcount Management Track and report employee headcount, new hires, terminations, pay changes, and status changes. Provide routine payroll, labor cost, and headcount reports to accounting and leadership. Assist with audits and requests for payroll documentation. Employee Records & File Management Maintain organized and up‑to‑date employee payroll and personnel files (physical and/or electronic). Ensure proper documentation for new hires, pay changes, benefits enrollment, and terminations. Support compliance with record retention and confidentiality requirements. Process Improvement & Support Assist in maintaining payroll procedures and internal controls. Identify opportunities to improve payroll accuracy, efficiency, and documentation. Collaborate with HR, Accounting, and management to ensure payroll alignment with company policies. Qualifications Required High school diploma or equivalent. 2+ years of payroll processing experience. Experience processing weekly payroll. Strong attention to detail and accuracy. Ability to manage confidential information with discretion. Proficiency with payroll systems and Microsoft Excel. Preferred Experience processing payroll for multiple companies or entities. Familiarity with payroll tax regulations and benefits administration. Associate degree in Accounting, Business, or related field. Experience working with timekeeping systems and payroll service providers. Skills & Competencies Excellent organizational and time management skills. Strong numerical and reconciliation skills. Ability to meet strict payroll deadlines consistently. Clear written and verbal communication skills. Ability to work independently while collaborating with cross‑functional teams. Working Conditions Standard office environment. Periodic overtime may be required around payroll deadlines or year‑end processing.
