Description For immediate consideration contact Lisa James at (859)788-.3684 We are looking for a detail-oriented Payroll Administrator to oversee accurate payroll operations for a service organization based in Lexington, Kentucky. This position manages high-volume, multi-state payroll activity while supporting tax reporting, labor distribution, and payroll accounting functions. The role works closely with HR, finance, and operational leaders to keep payroll processes compliant, timely, and aligned with project and workforce needs.
Responsibilities:
  • Process full-cycle payroll for a large employee population across multiple states on established weekly, biweekly, and semimonthly schedules.
  • Review payroll data for accuracy, resolve discrepancies, and ensure earnings, deductions, and adjustments are applied correctly.
  • Prepare payroll tax filings and reconciliations for federal, state, and local jurisdictions, including required withholding and unemployment reporting.
  • Record payroll-related journal entries, reconcile payroll accounts, and assist with month-end close activities to support accurate financial results.
  • Allocate labor expenses to the appropriate jobs, departments, and cost centers to strengthen project-level reporting and job costing.
  • Compile and submit certified payroll documentation in accordance with prevailing wage and project-specific compliance standards.
  • Monitor adherence to wage and hour rules, garnishments, benefit deductions, and internal payroll policies across the workforce.
  • Support audits by gathering payroll records, answering compliance questions, and providing documentation for internal and external review.
  • Assist with payroll and timekeeping system enhancements, testing, and process improvements that increase efficiency and accuracy. Requirements
  • 3-5+ years of payroll accounting or payroll administration experience, including multi-state payroll processing.
  • Experience managing full-cycle payroll for a workforce of more than 500 employees.
  • Strong knowledge of payroll tax requirements, wage and hour regulations, and payroll accounting practices.
  • Background preparing certified payroll reports and working with prevailing wage requirements.
  • Proficiency with payroll platforms such as UKG Pro, Paycom, Paycor, or similar systems.
  • Advanced Excel skills and the ability to analyze payroll data, reconcile accounts, and meet strict deadlines.
  • High level of accuracy, discretion, and attention to detail when handling sensitive employee and payroll information.
