Job Description

We are seeking a detail-oriented Payroll & Invoicing Specialist to join our accounting team. In this role, you will be the bridge between labor hours and project financials—handling everything from daily timecard entry to full-cycle payroll processing, certified payroll reporting, and client invoicing. The ideal candidate thrives on accuracy, meets strict deadlines, and understands the nuances of prevailing wage requirements.
Key Responsibilities Timecard Management:
Verify, and input daily and weekly employee hours across multiple project codes and departments.
Certified Payroll:
Extract labor, wage determination, and fringe benefit data to prepare and submit weekly certified payroll reports.
Full-Cycle Payroll Processing:
Review hours, deductions, taxes, and paid time off; process weekly/bi-weekly payroll through our payroll software.
Customer Invoicing:
Generate and issue accurate customer invoices based on logged project hours, contract terms, and billed materials.
Discrepancy Resolution:
Partner with managers and department leads to resolve timecard errors, payroll disputes, and billing questions.
Compliance & Recordkeeping:
Maintain compliant records for state, federal, and prevailing wage audits. Qualifications 2+ years of hands-on payroll experience; construction, contracting, or prevailing wage industry experience strongly preferred. Direct experience generating and submitting certified payroll reports. Solid background in billing and customer invoicing workflows. High proficiency in accounting/payroll software. Sharp eye for detail and high accuracy in repetitive data entry
EEO Pay:
$23.00 - $25.00 per hour Expected hours: 40.0 per week
