Payroll Specialist
Job Description
Position Summary The Payroll Specialist is responsible for administering and processing payroll activities in support of Tri-State Drilling, Tri-State Rebar, Three Peaks Drilling, T3 Resources and T3 Fleet Services. This position supports payroll for field and office employees and helps ensure accurate and timely processing in accordance with applicable federal, state, and local requirements, collective bargaining agreements, prevailing wage requirements, and established company policies and procedures. This role provides payroll administration and technical support but is not responsible for establishing compensation, staffing levels, employee classifications, labor agreements, benefit plans, project staffing, employment decisions, or other operating decisions of the supported entities. Those decisions remain the responsibility of the appropriate leadership and designated departments within Tri-State Drilling, Tri-State Rebar, Three Peaks Drilling, T3 Resources, and T3 Fleet Services. This position reports to the Senior Accountant as an employee of T3 Resources. Essential Job Duties and Responsibilities This list of duties and responsibilities is not all-inclusive and may be expanded to include other responsibilities as necessary. Payroll Processing and Administration Process weekly scheduled payrolls and off cycle payrolls for hourly and salaried employees across Tri-State Drilling, Tri-State Rebar, Three Peaks Drilling, T3 Resources, and T3 Fleet Services by maintaining accurate records and proper documentation. Review employee time records, job and cost codes, pay rates, deductions, reimbursements, and other payroll information for accuracy and completeness; coordinating with the appropriate employee, supervisor, project team, Human Resources representative, or entity leader to obtain clarification or correction. Process authorized payroll deductions, including benefit deductions, garnishments, child support orders, union deductions, and other required or employee-elected deductions. Support the processing of payroll adjustments, corrections, supplemental payments, final payments, authorized payroll deductions (benefit deductions, garnishments, child support orders, union deductions, etc.) and other payroll transactions. Union, Prevailing Wage, and Certified Payroll Support Process payroll information in accordance with collective bargaining agreements, wage schedules, employee classifications, and established company procedures. Assist with the preparation and submission of union reports, benefit remittances, dues, and other required payroll-related information. Review payroll information for work subject to prevailing wage, certified payroll, or other project-specific compensation requirements. Prepare and submit certified payroll reports and supporting documentation for applicable projects. Coordinate with Human Resources, Accounting, project teams, and entity leadership to resolve questions involving employee classifications, wage determinations, work locations, or project-specific payroll requirements. Maintain supporting records for union, prevailing wage, and certified payroll activities. Payroll Tax and Regulatory Support Support federal, state, and local payroll tax reporting, reconciliations, payments, and multi-state payroll compliance activities. Assist with payroll audits, tax inquiries, regulatory reviews, union audits, workers' compensation audits, and other internal or external information requests by gathering records and supporting documentation. Follow established payroll controls, approval processes, documentation standards, and record-retention requirements while communicating identified compliance concerns to appropriate stakeholders. Monitor payroll-related requirements and communicate identified changes or concerns to the Controller and other appropriate internal stakeholders. Reconciliation, Reporting, and Controls Reconcile payroll registers, payroll accounts, deductions, tax liabilities, benefit payments, union payments, and other payroll-related transactions. Review payroll reports for unusual activity, discrepancies, missing information, or potential processing errors before payroll is finalized. Prepare recurring and requested payroll reports for the Controller, Human Resources, Accounting, and authorized entity leadership. Support month-end, quarter-end, and year-end payroll processes, including reconciliations, reporting, and employee tax documentation. Document payroll processes and assist with maintaining consistent payroll procedures and internal controls. Qualifications Associate's or Bachelor's degree in Accounting, Finance, or related field preferred. 2+ years of payroll experience, preferably in construction or a similar industry. Strong knowledge of payroll and ERP systems, Spectrum or CIMC strongly preferred Understanding of prevailing wage laws and certified payroll reporting. Excellent attention to detail and organizational skills. Ability to handle confidential information. Experience with union payroll and multi-state payroll processing. Familiarity with construction, job costing, and project-based payroll. Work Environment Office-based role with frequent computer and phone work; regular interaction with field and office personnel. Must be able to sit for extended periods, use standard office equipment, and manage electronic records accurately. Offers are based on various factors, including skill set, qualifications, experience, location, and other job-related reasons.
