Job Description

Job Summary We are seeking a detail-oriented and organized Payroll Specialist to manage the end-to-end payroll operations for our dental practices located from one of our offices in the Asheville, NC area. The ideal candidate will bring extensive experience processing payroll using ADP Workforce Now alongside a strong familiarity with dental practice management software—specifically Open Dental (required) and Dentrix (preferred). In this role, you will be responsible for ensuring accurate, timely, and compliant payroll execution while navigating the unique compensation structures of the dental industry (such as hourly rates, salary, and production/collection-based bonuses for providers and hygienists) across multiple locations.
Key Responsibilities Payroll Processing:
Own the end-to-end processing of payroll (bi-weekly or semi-monthly) for up to 40 dental offices using ADP Workforce Now .
Time & Attendance Tracking:
Audit and reconcile employee timecards, overtime, paid time off (PTO), and sick leave by pulling data and reports directly from Open Dental and Dentrix .
Dental Compensation Metrics:
Calculate and track complex dental compensation models, including provider/doctor commissions based on net production or collections, and hygienist bonus structures.
Data Management:
Maintain accurate employee payroll files, processing new hire onboarding setups, wage rate changes, direct deposit adjustments, and garnishments.
Compliance & Reporting:
Ensure all payroll activities comply with federal, state (North Carolina), and local wage and hour regulations. Generate and analyze payroll variance and labor cost reports for practice leadership.
Inquiry Resolution:
Act as the primary point of contact for staff inquiries regarding paychecks, deductions, and timecard discrepancies, resolving issues with high confidentiality.
Qualifications & RequirementsRequired Experience:
Minimum 3+ years of dedicated payroll processing experience, ideally within a multi-site medical or dental practice setting. Proficient, hands-on experience using ADP Workforce Now for payroll administration. Direct, practical familiarity with Open Dental and Dentrix software to extract time tracking and provider productivity metrics. Thorough understanding of standard payroll tax laws and labor regulations.
Preferred Experience:
Familiarity or working knowledge of Open Dental and Dentrix software is highly preferred. Experience calculating dental provider/doctor production and collection commissions.
Key Skills:
Exceptional attention to detail and zero-tolerance for data entry errors. Strong organizational skills to seamlessly manage data across multiple distinct office locations. Ability to handle sensitive financial and personal data with strict confidentiality. Benefits & Compensation Competitive hourly wage/salary ($20-$25+/hour depending on experience).
