Job Overview The Payroll Specialist is responsible for the accurate and timely processing of the organization's payroll, ensuring compliance with federal, state, and local regulations. This role manages employee pay data, deductions, tax filings, and payroll-related inquiries while maintaining strict confidentiality. Reports to the Payroll Manager, Controller, or HR Manager. Key Responsibilities

Process weekly, bi-weekly, and/or semi-monthly payroll accurately and on time (including multi-state and multi-location payrolls)

Enter and maintain employee payroll data, including new hires, terminations, pay rate changes, and address updates

Process deductions, garnishments, benefits, bonuses, commissions, and other withholdings

Ensure compliance with federal, state, and local payroll, wage, and hour laws

Manage payroll tax filings and payments (monthly, quarterly, and annual), including W-2 processing and year-end reporting

Reconcile payroll to the general ledger and maintain accurate records and schedules

Oversee direct deposits, fund transfers, and distribution of pay stubs

Respond promptly to employee payroll questions and resolve discrepancies

Coordinate with HR on benefits, PTO, onboarding, and offboarding changes

Support internal and external audits with documentation and records

Participate in special projects, system upgrades, and process improvement initiatives

Maintain strict confidentiality of employee salary and personal information

Qualifications

High school diploma required; Associate's or Bachelor's degree in Accounting, Business, HR, or related field preferred

3-5+ years of payroll processing experience, including multi-state payroll

Strong knowledge of payroll processes, taxation, garnishments, and compliance regulations

Proficiency in payroll/HRIS systems (e.g., ADP, Workday, UKG, Paylocity, Paychex)

Strong Microsoft Excel skills (pivot tables, VLOOKUPs, SUMIFs)

Excellent attention to detail, accuracy, and organizational skills

Strong analytical, problem-solving, and communication skills

Ability to handle sensitive information with discretion and meet tight deadlines
