Job Description

Position Summary:
The Payroll Specialist processes all aspects of payroll, providing a high level of customer service. Communicate effectively, both orally and in writing, with all organizational levels. Demonstrate efficiency and flexibility in performing detailed tasks in a fast-paced work environment with frequent interruptions, changing priorities, and multiple deadlines. Assist in the reconciliation of payroll accounts as needed. Maturity in dealing with sensitive and confidential matters. The successful candidate is comfortable multi-tasking to manage multiple deadlines and changing priorities, eager to learn new technologies and willing to follow procedures, works well and gets along with others, understands the value of high-quality customer-centric service, and, above all, can remain professional under difficult circumstances.
Duties and Responsibilities:
The essential functions include, but are not limited to the following: Compiling payroll data, posts wages, and reconciles errors, in order to balance the payroll and maintain payroll records Compiling payroll data such as garnishments, vacation time, insurance and 401(k) deductions Polling electronic time clocks and reviewing the downloaded information for completeness and accuracy Generating payroll management reports from payroll software system Contacting clients daily to obtain payroll data including salary adjustments, special payments, tax allocations and employee deductions, and to set schedules Identifying and resolving internal discrepancies Researching employee questions concerning paychecks or pay in general Supporting and sustaining a positive work environment that fosters team performance through own work and behavior Maintaining a base of payroll clients relevant to size and complexity on all products Accurately keying all payroll related data necessary to process and meet appointment schedules Keeping abreast of the payroll processing system and changes in wage and tax laws, and corresponding with federal, state, and local tax agencies on behalf of our clients Maintaining client files Researching and resolving client/system problems Establishing and maintaining a positive working relationship with clients, agencies, and coworkers to promote a quality service image Maintaining a high rate of client retention through quality service Operating standard office equipment and using required software applications to produce correspondence, electronic communication, and maintain spreadsheets and databases Performing other duties as assigned Minimum Qualifications (Knowledge, Skills, and Abilities) College degree from an accredited college Business or Accounting preferred; equivalent combination of education and/or experience will be considered Prior experience in a customer service environment Prior experience processing payroll preferred Proficient in Microsoft Office (Word, Excel, Outlook) Knowledge of payroll software or ability to learn specific applications Knowledge of Wage and Hour Law Professional, driven, motivated self-starter Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
Technical Requirements:
1. Proficient using business software (e.g., MS Windows, MS Outlook, MS Word, and MS Excel, Adobe PDF, etc.) 2. Proficient using computer equipment and associated peripherals (e.g., computers, laptops, scanners, printers, smart cell phones, etc.) 3. Proficient in Cloud computing environment (e.g., MS Office 365, online banking, online storage, etc.) 4. Familiarity with accounting concepts and terminology.
Other Requirements:
1. Ability to pass employment verification and background check 2. Ability to sign non-compete agreement
Interpersonal Skills:
1. Must work well with others under pressure (i.e., client management and staff, vendors, governmental employees, and K12 Accounting staff and management). 2. Must maintain a Professional demeanor at all times even under adverse circumstances. 3. Must be empathetic to the needs of clients, vendors, and governmental employees. 4. Must be flexible and able to adjust to changing priorities and frequent deadlines. 5. Must be willing to learn new software and able to follow written procedures (e.g., K12 Accounting processing model). 6. Must be able to maintain confidentiality of client and company information, methods, and procedures. 7. Must be a self-starter and have a positive attitude. 8. Must be a team player. 9. Must be able to take direction from supervisor(s). 10. Must adhere to on-site dress code, at a minimum business casual.
