Job Description

Position Summary The Payroll Coordinator is primarily responsible for the accurate and timely processing of weekly payroll while supporting the hotel's human resources functions. This role focuses heavily on payroll administration, employee time and benefit tracking, payroll-related reconciliations, and ensuring compliance with company policies, union agreements, and labor regulations. Essential Duties and ResponsibilitiesPayroll Administration (Primary Focus)
  • Process complete weekly payroll accurately and on schedule
  • Review timesheets, punches, wage rates, deductions, and adjustments for accuracy
  • Maintain employee PTO, vacation, sick, and personal time balances
  • Prepare payroll journal entries and related reports weekly
  • Ensure payroll compliance with company policies, labor laws, and union agreements
  • Respond to employee payroll questions regarding checks, deductions, taxes, and time balances
  • Maintain confidentiality of payroll records and employee information
  • Assist with onboarding payroll setup for new hires and status changes for current employees
  • Coordinate with management regarding payroll discrepancies and approvals Benefits & Union Payroll Support
  • Assist with monthly union benefit reconciliations
  • Support monthly health insurance invoice reconciliations
  • Help employees and managers with union-related payroll or benefit questions, escalating when needed
  • Continue training to independently complete payroll-related reconciliations and benefit reporting Bookkeeping Support (Secondary Duties)
  • Process weekly chargebacks
  • Reconcile Travel Agent commission invoices weekly
  • Prepare and issue Accounts Receivable invoices daily
  • Handle collections in the absence of the accounting associate
  • Respond to guest and customer billing/accounting inquiries by phone and email Qualifications & Skills
  • Prior payroll experience required
  • Bookkeeping experience is a plus
  • Hospitality or hotel payroll/accounting experience highly desirable
  • Experience working in union environments a plus
  • Strong understanding of payroll processes, deductions, and compliance requirements
  • High attention to detail and accuracy
  • Proficiency in Microsoft Excel and payroll/accounting systems
  • Strong communication and customer service skills
  • Ability to manage deadlines in a fast-paced environment Physical & Work Requirements
  • Primarily office-based role
  • Extended computer and desk work
