Most bookkeeping roles are framed like this: enter data, don't mess it up, repeat. That misses the point. To us bookkeeping is about creating trust in the numbers so the business can move forward with confidence. Clean books don't just "look nice" — they let teams make smart decisions, spot problems early, and grow without chaos. If you're someone who feels calmer when things are organized, who notices when one number doesn't quite reconcile, and who quietly takes pride in systems that just work, this role will feel deeply satisfying. We're not looking for a bookkeeper who needs constant oversight or a rigid checklist to do great work. We're looking for someone who likes owning their lane. You'll have autonomy, clear expectations, and the trust to manage our books thoughtfully. This role touches a lot of systems, and being fluent across them is most of the job. You'll work in QuickBooks Online, Meevo, Justworks, Expensify, and sales and marketplace portals. We'll train you hands-on, on screen shares, before you're ever asked to do something alone — but the person who thrives here is the one who is curious about a new platform rather than daunted by it.
Key Responsibilities Record Financial Transactions:
Enter financial transactions into our accounting software (QuickBooks Online) with precision so that financial records are impeccably organized.
Reconciliations:
Perform bank and credit card reconciliations and resolve any discrepancies faster than you can say "balanced books."
Revenue & Marketplace Reconciliation:
Reconcile revenue from our practice management system and from several sales and marketplace platforms, each with its own reporting quirks and timing rules.
Payroll Processing:
Ensure our team is paid accurately and on time, handling wages, deductions, and taxes twice monthly.
Automation & Efficiency:
Actively look for work that shouldn't be done by hand. Use AI and the tooling available to you to reduce manual entry, speed up recurring tasks, and make the monthly close faster than it was last month. We'd rather you spend an hour building something than five hours repeating something.
SOP Support:
Give proactive recommendations to the accountant on refining efficient Standard Operating Procedures (SOPs) — and keep the documentation current as you improve the process.
Accounts Payable:
Manage invoices, process payments, and chase down outstanding invoices.
Expense Reporting:
Manage expense reporting including collection of receipts, transaction coding, use of QBO feeds and the Expensify expense management platform (no previous Expensify experience required). You notice, you handle it, you close the loop. You're tech savvy and teach yourself software. Handed a platform you've never seen, your instinct is to start clicking around and work out how it behaves, then ask the sharper questions afterward. You already use AI in your work, and you're opinionated about it. You know where it genuinely saves you time and where it can't be trusted, and you'd be glad to work somewhere that encourages you to use more of it rather than less. You've automated something. A spreadsheet you stopped maintaining by hand, a report that used to take an hour, a process you rebuilt because doing it the old way irritated you. You can build and refine processes without being hand-held — and you document them so the next time is even easier. You're comfortable working independently, but you communicate clearly when something needs context, approval, or a decision. Our books are reconciled and dependable. Month-end isn't stressful — it's routine. You've documented clear SOPs for recurring tasks and flagged small inconsistencies before they turn into real issues. 180 Days —
Quiet Optimization:
You're improving how we work. You've automated or streamlined at least one thing that used to eat time every month, tightened the documentation, or surfaced insights that help leadership plan better. Things feel smoother because you're here — and some of the work you inherited isn't done by hand anymore. Minimum Qualifications Minimum of 5 years previous experience in bookkeeping, accounting support, or a closely related role Bachelor's degree in Accounting, Finance, Business, or a related field preferred Comfort owning routine bookkeeping tasks independently from start to finish Proficiency with accounting software (QuickBooks strongly preferred) Strong spreadsheet skills (Excel or equivalent) Demonstrated ability to learn new software independently — you'll be working across several platforms that most bookkeepers haven't used Current, practical use of AI tools in your day-to-day work, and genuine interest in finding more places to apply them Exceptionally high attention to detail and a demonstrated track record of accurate work
Pay:
$25.00 - $28.00 per hour
