The Opportunity We're hiring a Payroll Specialist who's primarily trained in payroll but also comfortable in QuickBooks — someone who can run accurate, on-time payroll for a growing portfolio of clients in Gusto, and help keep those same clients' books clean when it counts. This is a hands-on, high-trust role with real ownership, real client relationships, and real room to grow as our payroll department expands. What You'll Do Payroll in Gusto (your main focus): We're looking for someone whose background is primarily in payroll, with QuickBooks experience as a strong plus.
- Process payroll accurately and on time for a portfolio of clients on weekly, bi-weekly, semi-monthly, and monthly cycles, including off-cycle and final runs
- Manage employee and contractor records directly in
Gusto:
new hires, terminations, pay-rate changes, deductions, tax forms, direct deposit, and status changes
- Review and verify reimbursements, deductions, and garnishments before a payroll is submitted
- Identify, research, and correct payroll discrepancies BEFORE payroll runs — catch it before it goes out, not after
- Generate and review Gusto payroll reports for accuracy
- Onboard new payroll clients in Gusto — gathering employee and contractor data, setting up pay schedules and deductions, registering and verifying state tax accounts, and collecting W-4s, I-9s, and direct deposit forms
- Manage tip reporting for service-industry clients, and run owner reasonable-salary payroll for S corporations so wages land correctly on the W-2
- Handle quarterly and year-end filings (941, 940, W-2/W-3, 1099s) and respond to IRS and state agency notices (this is done in the software automatically, but at times you will need to manually process these forms).
- Diagnose and clear Gusto issues — blocked accounts, unpaid balances, AutoPilot failures, missed anchor pay dates, inactive state accounts — and follow each one to resolution with a clear timeline
- Handle final payroll and account closures for clients who are winding down
- Be the calm, knowledgeable voice when a client has a payroll question, and coordinate with owners to fix missing hours, pay issues, and employee-information changes
- Keep accurate payroll records and maintain strict confidentiality of all payroll and employee information Bookkeeping in QuickBooks (the second hat, as needed): This is not the primary focus, but the experience is very helpful!
- Support a portfolio of clients in QuickBooks Online — bank and credit card reconciliations, AP/AR, journal entries, and understand a P&L, Balance Sheet, and Statement of Cash Flows
- Produce clean financials and help clients understand what the numbers actually mean
- Catch errors, ask the right questions, and keep messy books honest
- Bridge clean client data toward the tax return; any tax-preparation experience is a real plus What We're Looking For
- Minimum 2-3 years of hands-on, full-cycle payroll processing experience (start to finish), including multi-state payroll tax (vital skills)
- Direct, recent experience running payroll in Gusto (or a very strong background in a comparable platform such as ADP, Paychex, or isolved, and the drive to become fluent in Gusto fast)
- Experience entering and maintaining employee information, processing payroll corrections, pay changes, deductions, overtime, PTO, and direct deposit changes
- Solid understanding of federal and state payroll taxes and filings (941, 940, W-2/W-3, state withholding and unemployment)
- QuickBooks experience — comfortable owning reconciliations and a monthly close
- Ability to work accurately under payroll deadlines and catch errors before payroll is processed
- Comfort juggling many clients without dropping balls — strong checklists, calendars, and follow-through
- Proficient with Microsoft Excel, Outlook, and general office systems
- Sharp attention to detail, strong communication, and a problem-solver mindset: when something doesn't tie out, you dig until it does
