You'll be the person who makes sure vendors are set up correctly and paid on time, transactions are recorded accurately, the books stay clean in QuickBooks Online, and required filings and records don't slip through the cracks. You'll work directly with management, so this is a good fit for someone who likes being trusted to run a process end to end and speak up when something doesn't look right. What you'll do Own accounts payable: receive and code vendor invoices, route for approval, schedule and process payments, and keep vendors current Set up and maintain new vendors, including collecting W-9s, payment details, and supporting documentation Record daily transactions in QuickBooks Online and keep the general ledger accurate and up to date Reconcile bank and credit card accounts monthly Track expenses and flag duplicates, missing receipts, or unusual charges Build and maintain Excel trackers and reports for expenses, vendor payments, and compliance deadlines Assist management with industry-specific compliance items — tracking deadlines, gathering documentation, maintaining required records, and helping prepare filings or reports Keep vendor files and financial records organized and audit-ready Prepare monthly financial reports for management and support our CPA at year-end Take on related administrative and financial tasks as they come up What we're looking for 2+ years of bookkeeping or accounts payable experience, ideally at a small or mid-sized business Solid working knowledge of QuickBooks Online Proficient in Excel — comfortable with formulas, pivot tables, lookups, and building clean, usable spreadsheets from scratch Comfortable handling a steady volume of vendor bills with accuracy and follow-through Understanding of basic accounting principles (debits/credits, accruals, reconciliations) Organized, self-directed, and able to manage deadlines without close supervision Comfortable following documented procedures and keeping thorough records — prior exposure to a regulated industry (financial services, payments, insurance, etc.) is a plus Clear communicator — you'll coordinate with vendors, team members, management, and our accountant
