Job Description
The Payroll Specialist is responsible for accurately and efficiently processing payroll for employees while maintaining compliance with applicable federal, state, and local regulations. This role manages payroll records, conducts regular audits, resolves employee payroll inquiries, and partners with Human Resources, Finance, and other internal teams to ensure accurate and timely payroll operations. Key Responsibilities Process biweekly and semimonthly payroll for all employees, ensuring accurate and timely payment. Conduct daily and weekly payroll audits to identify discrepancies, validate data, and ensure payroll accuracy. Maintain accurate payroll records, including new hires, terminations, deductions, benefits, tax information, and other employee changes. Review and update employee payroll information across applicable HRIS and payroll systems. Ensure payroll practices comply with federal, state, and local wage, tax, and employment regulations. Prepare and distribute employee pay statements, W-2 forms, payroll reports, and other required payroll documentation. Respond to employee inquiries regarding wages, deductions, tax withholdings, benefits, and payroll policies. Research and resolve payroll discrepancies and employee issues in a timely and professional manner. Reconcile payroll data and assist with month-end, quarter-end, and year-end payroll reporting. Collaborate with Human Resources, Finance, Benefits, and other internal teams to maintain alignment across payroll systems, processes, and employee records. Support internal and external payroll audits, compliance reviews, and reporting requirements as needed. Maintain strict confidentiality and safeguard sensitive employee and payroll information. Identify opportunities to improve payroll processes, data accuracy, and operational efficiency. Basic Qualifications 1+ year of payroll experience, or experience in Human Resources or Accounting with payroll-related responsibilities. Strong attention to detail with the ability to manage sensitive and confidential information. Proficiency with Microsoft Office and Google Workspace applications. Strong data analysis, organizational, and problem-solving skills. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet payroll deadlines in a fast-paced environment. Preferred Qualifications 2+ years of payroll experience. 1+ year of payroll tax experience. Knowledge of federal, state, and local wage and hour laws, payroll tax regulations, and compliance requirements. Experience processing multi-state payroll. Experience working with HRIS and payroll systems. Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) designation.
