Immediately Job Description The Payroll Coordinator is responsible for the full-cycle administration of payroll operations for approximately 200 employees across 4 entities. This role ensures accurate and timely payroll processing, compliance with federal and state regulations, and effective coordination between payroll, HR, and finance functions. This is a full-time, full-year position.
Salary Range:
$25.00 - 32.00 per hour Key Responsibilities Payroll Processing & Administration
  • Process semi-monthly (transitioning to bi-weekly) payroll from start to finish
  • Import and validate timekeeping data from Frontline
  • Manage payroll processing through Paychex
  • Review payroll registers and validate earnings, deductions, and net pay
  • Submit payroll for approval and ensure timely funding Timekeeping Oversight
  • Monitor and audit employee time entries for accuracy and compliance
  • Identify and resolve discrepancies (missed punches, anomalies, etc.)
  • Enforce payroll deadlines and system controls
  • Coordinate with supervisors on approvals and corrections Benefits & Deductions Management
  • Administer employee benefit deductions including health, dental, and vision insurance
  • Manage retirement contributions (VMERS, VSTRS, 403b), union dues, and other deductions
  • Calculate and update deductions annually and during qualifying events
  • Ensure compliance with plan requirements and payroll cycles Employee Payroll Support
  • Respond to employee inquiries regarding pay, deductions, and benefits
  • Resolve payroll discrepancies and issues in a timely manner
  • Provide clear communication regarding payroll changes and timelines Compliance & Reporting
  • Ensure compliance with federal, state, and local payroll regulations
  • Manage tax reporting and filings through Paychex
  • Support year-end processing, including W-2 distribution
  • Maintain payroll records in accordance with audit and retention requirements Reconciliation & Accounting Coordination
  • Reconcile payroll data to the general ledger (Tyler ERP)
  • Review payroll-related invoices and postings
  • Perform variance analysis and resolve discrepancies
  • Collaborate with finance team on reporting and budgeting impacts Special Payroll Processing
  • Process new hires, terminations, and final pay in compliance with law
  • Administer retroactive pay and contract adjustments
  • Process stipends, MOUs, and extra duty payments
  • Coordinate payroll impacts related to leaves of absence Systems & Process Management
  • Maintain payroll systems (Frontline, Paychex, Tyler ERP)
  • Support system transitions and process improvements
  • Document procedures and maintain payroll SOPs
  • Ensure internal controls and segregation of duties Audit & Year-End Support
  • Prepare documentation for internal and external audits
  • Reconcile payroll accounts prior to year-end close
  • Ensure accurate reporting of all payroll-related benefits and deductions Qualifications
  • Experience in payroll processing (multi-employee environment preferred)
  • Knowledge of payroll systems (Paychex, Frontline, or similar)
  • Understanding of payroll laws, taxes, and compliance
  • Strong attention to detail and analytical skills
  • Ability to manage deadlines and prioritize multiple tasks
  • Experience in school district, municipal, or public sector payroll (preferred) Core Competencies
