Monday-Friday About the Position Conceive Fertility Center is seeking an experienced, highly organized, and compassionate Bilingual Patient Financial Counselor who is fluent in both Spanish and English to join our team. The Patient Financial Counselor plays a critical role in the patient journey. This position is responsible for helping patients understand the financial aspects of their fertility treatment, including insurance benefits, estimated patient responsibility, treatment costs, self-pay options, outstanding balances, and financial requirements prior to treatment. This is not simply a customer-service position. The ideal candidate will have a strong understanding of medical insurance, patient financial responsibility, insurance verification, revenue-cycle processes, and patient collections and will be comfortable taking ownership of assigned patient accounts through financial clearance. Because we serve a diverse patient population, professional fluency in Spanish and English is required. The individual must be able to independently conduct a complete financial consultation and explain complex insurance and treatment-cost information in both languages. Key Responsibilities Conduct comprehensive patient financial consultations in English and Spanish Review treatment plans and provide patients with clear and accurate financial estimates Verify and review insurance eligibility and benefits, including fertility-specific coverage when applicable Interpret and explain: Deductibles Copays Coinsurance Out-of-pocket maximums Infertility Life Time Max Covered and non-covered services Benefit limitations and exclusions Prior authorization and referral requirements Estimated patient responsibility Determine applicable insurance versus self-pay financial responsibility based on benefits and treatment plans Financially counsel patients regarding IVF, FET, IUI, fertility testing, procedures, 3rd party, international and other fertility-related services Explain self-pay treatment packages, deposits, treatment costs, and other financial requirements Review patient accounts and identify outstanding financial requirements before treatment Assist with ensuring patients are appropriately financially cleared prior to treatment or services Collect required payments, deposits, outstanding balances, and other patient financial responsibility Follow up with patients regarding outstanding balances and incomplete financial requirements Respond to patient questions regarding estimates, statements, insurance processing, balances, and financial responsibility Communicate with insurance companies when additional benefit information or clarification is necessary Accurately document all financial consultations, estimates, benefits, payments, and patient communications in the patient's account Identify financial or insurance discrepancies and escalate concerns before they result in treatment delays or billing issues Coordinate closely with Insurance Verification, Authorizations, Billing/RCM, Front Desk, Clinical Staff, IVF Coordinators, and Providers Maintain patient confidentiality and comply with HIPAA and all practice policies Complete assigned financial consultations, follow-ups, account reviews, calls, and emails within established timelines Perform additional financial and administrative responsibilities as assigned Required Qualifications Fluent in English and Spanish - required Must be able to independently conduct a complete professional financial consultation in both English and Spanish Healthcare financial counseling, insurance verification, medical billing, patient collections, revenue cycle, or comparable medical-office experience Strong knowledge of medical insurance terminology and patient financial responsibility Experience reviewing and interpreting: Eligibility and benefits Deductibles Copays Coinsurance Out-of-pocket maximums Coverage limitations and exclusions Comfortable discussing significant treatment costs and collecting payments directly from patients Strong attention to detail and commitment to financial accuracy Excellent verbal and written communication skills Strong organizational and time-management skills Ability to manage multiple priorities, deadlines, scheduled consultations, patient calls, emails, and account follow-up Ability to work independently, take ownership of assigned responsibilities, and follow through until completion Professional and compassionate communication style, particularly when discussing sensitive financial matters Experience using electronic medical records (EMR/EHR), practice-management systems, and standard office technology Ability to work collaboratively across multiple departments Must be available to work full-time, in-office, Monday through Friday Preferred Qualifications 1+ years of healthcare financial counseling, insurance verification, medical billing, revenue cycle, or patient-account experience Previous experience in fertility/reproductive endocrinology, OB/GYN, specialty medicine, or another high-cost specialty healthcare environment Experience financially counseling patients for IVF, FET, IUI, procedures, diagnostic testing, or treatment packages Knowledge of fertility insurance benefits, exclusions, treatment limitations, and authorization requirements Experience with prior authorizations and PCP/specialist referral requirements Experience with patient collections, account reconciliation, and financial clearance Understanding of the medical revenue cycle, including eligibility, benefits, authorizations, claims, denials, and patient responsibility Experience with IMS/MedItab or similar medical practice-management systems What We're Looking For We are looking for someone who is dependable, accountable, detail-oriented, confident, and compassionate .
