Professional)JOB FUNCTION
Negotiates for real property rights to support new and existing customer projects (distribution), Engineering projects and provides real estate management. Participates in the development and management of the budget. Responsible for general administrative duties including processing of mail, handling of invoices, correspondence, filing and ordering of office supplies. Prepares and processes documents for filing with State and City agencies. Conducts periodic site inspections; prepares/processes government forms; researches and responds to customer inquiries. Responsibilities span Hawaiian Electric, Maui Electric and Hawaii Electric.ESSENTIAL FUNCTIONS
Reviews and coordinates engineering plans and construction programs. Meets with Engineers/Planners to clarify real property needs. Verifies State and City planning and zoning designations. Coordinates easement mapping for preparation of legal documents and drafts legal documents. Prepares grants of easements, rights of entry, agreements, permits, applications, leases, and deeds. Negotiates terms and conditions of land rights with landowners and coordinates legal matters with attorneys on company land matters. Other administrative duties include records management and maintaining administrative files; ITS/IAM requests/updates; contracts/purchase orders, expense reports, etc.; prepares and handles incoming/outgoing correspondence; maintaining inventory of office supplies; coordinating equipment maintenance; invoice payments and record maintenance; assists in preparation of real property tax records; filing; takes minutes for staff meetings. Scans, transfers, and maintains land documents in Engineering's repository. Prepares and processes documents for filing with State and City agencies. Researches and responds to both internal and external customer requests. Manages all outside private and governmental requests for use of company real property and easement areas, and manages company land, including new leases, disposal, and out leases. Performs semi-annual inspections of all company owned/leased properties, including checks for environmental issues, encroachments, dumping, and related concerns, and reports to appropriate departments for resolution. Tracks and initiates payments for property rentals. Performs administrative duties of a Notary Public. Supports and undertakes special assignments, including group presentations, as directed by the Manager of Land and Rights of Way. Participates in Company emergency response activities as assigned, including any activities required to prepare for such emergency response. Other duties as assigned.BASIC QUALIFICATIONS
Knowledge Requirements Knowledge of principles and practice of real estate management and documentation and a working knowledge of the State Land Court and the Bureau of Conveyances normally acquired through college level courses or equivalent experience. Strong working knowledge of personal computers and related software applications such Microsoft Office, UIPlanner, ProjectWise, eRMS, and eGIS. Skills Requirements Must have or be able to qualify for a current State of Hawaii's driver's license to perform on-site investigations. Must meet the standards for required driving positions as stated in the Hiring Standards for Required Company Drivers Policy. These standards may be adjusted periodically to meet business and safety objectives. Must have or be able to qualify as a Notary Public. Demonstrated time management and organizational skills with the ability to prioritize, multitask, meet deadlines, and remain flexible in a demanding work environment with multiple priorities. Ability to handle difficult and/or sensitive issues while using tact, courtesy and discretion. Excellent written and oral skills. Strong interpersonal skills to influence and persuade various groups or individuals. Ability to remain flexible in a demanding work environment and adapt to rapidly changing priorities. Ability to conceptualize new ideas. Strong commitment to teamwork and customer service. Experience Requirements Several years (3-5 years) general office experience with 3 years at the legal secretarial level or 4 years at the administrative assistant level. Professional level experience in real property planning/management/administration, acquisition/sales, appraisal and/or title investigation is preferred. Experience in land management and administration gained from Hawaiian real estate entities (trusts, corporations, governments) is preferred.Role :
