Job Description

Sol Property Management is seeking a resourceful, highly organized Residential Property Maintenance Coordinator / Troubleshooter to take ownership of maintenance and repair coordination for a portfolio of residential rental properties. This is not simply a scheduling position. We need someone who understands how homes work, can ask the right questions, troubleshoot before dispatching a vendor, determine the appropriate trade, and follow each issue through until it is actually resolved. Responsibilities Own maintenance requests from initial report through completed repair. Troubleshoot issues using tenant questions, photos, videos, model numbers, error codes and repair history before dispatching vendors. Determine whether a handyman, plumber, electrician, appliance technician, HVAC contractor or other specialist is appropriate. Schedule vendors and coordinate tenant/property access; follow up persistently until work is completed. Keep tenants informed regarding scheduling, repair status and next steps. Review estimates and repair recommendations for reasonableness and look for cost-effective solutions. Track all open maintenance items and maintain clear documentation so nothing falls through the cracks. Recognize urgent habitability, safety, water-intrusion and property-damage issues requiring immediate escalation. Develop and maintain a dependable network of qualified primary and backup vendors. Visit properties when an on-site assessment is needed to evaluate a maintenance issue, meet a vendor, verify completed work, or otherwise facilitate resolution. Properties are located primarily throughout Santa Cruz County, with some properties in Santa Clara County. Who We're Looking For Residential maintenance knowledge and practical problem-solving ability are more important than a particular job title. Relevant experience may include residential property management, apartment maintenance, construction, handyman work, home inspection, restoration, facilities maintenance, plumbing/HVAC service coordination or similar work. Working knowledge of basic residential plumbing, electrical, appliances, HVAC, drainage and general repairs. Strong troubleshooting skills and the judgment to determine the appropriate next step before spending an owner's money. Exceptional organization, persistence (patience!) and follow-through while managing multiple open projects. Professional communication with tenants, property owners and contractors, including frustrated or time-sensitive situations. Ability to work independently and recognize what can be resolved without escalation. Comfortable with property-management software, email, text, photos, spreadsheets and online vendor research. Valid driver's license and reliable transportation, with the ability to travel to properties primarily throughout Santa Cruz County and occasionally Santa Clara County as needed. Schedule Approximately 15-20 hours per week to start, with the opportunity for additional hours as the position develops. Residential maintenance does not arrive on a perfect schedule, so this position requires some flexibility and availability during normal business hours. Work may occur in shorter intervals throughout the day as tenants, owners and vendors respond. Regular coverage expectations and time-tracking procedures will be established so all working time is recorded and compensated. This is a primarily coordination-based position, but occasional local travel to rental properties is required. Compensation & Growth The position includes an opportunity for increased compensation based on demonstrated performance. A formal performance and compensation review will be conducted after a 60 day probationary period. Advancement will be based on demonstrated ability to independently troubleshoot issues, manage vendors, control repair costs, maintain excellent follow-through, communicate effectively with tenants, and reduce the amount of maintenance intervention required from the property manager. Mileage is reimbursed for authorized property visits. Are You a Natural Problem Solver?
