Job Description:
The Tax Assistant provides administrative and operational support for tax compliance activities, ensuring tax notices, payments, filings, source documents, and client records are processed accurately and timely. This position works closely with CPAs, Trust Administrators, and other internal teams to support the preparation and administration of client tax matters. Key Responsibilities Record tax notices in designated tracking applications and official client records; coordinate payment of approved tax notices with Trust Administration. Coordinate the deposit of approved tax refund checks with Trust Administration. Download, organize, and save annual tax source documents, including 1099s, K-1s, and other applicable documents, to official client records. Process tax returns, extensions, and estimated tax payments, including: Notify Trust Administrators of upcoming tax payments and amounts due. Mail checks or process electronic payments for tax amounts due. Process and verify electronic filing (e-file) confirmations. Prepare and mail Grantor 1099 letters and update client records to reflect changes. Prepare Foreign Bank Account Reports (FBARs). Maintain accurate and up-to-date client records, including client lists, tax compliance requirements, additions, and changes, outstanding tax filings, including foreign tax filings, and tax billing reports. Complete other administrative duties, tax-related tasks, and special projects as assigned. Qualifications Prior experience in tax, accounting, financial services, trust administration, legal, or a related administrative role preferred. High school diploma; associates or bachelor's degree preferred Intermediate to advanced knowledge of Microsoft Excel, and other Microsoft Office applications E-filing and processing of high-volume tax returns Preferred Skills Proven ability and willingness to streamline processes Comfort with technology and process change
