Position Summary:
We're seeking a highly organized, personable, and proactive Client Services & Office Administrator to manage front desk operations, client communications, scheduling, and document handling. This is a full-year position with increased intensity during tax season (January-April) .
Key Responsibilities Client Reception & Communication:
Welcome clients, answer calls/emails, manage inquiries, and assist with client follow-ups and onboarding.
Appointment Scheduling:
Schedule, confirm, and manage client appointments; coordinate daily calendars and ensure smooth check-ins.
Document Management:
Organize, upload, and maintain client documents securely—both digital and physical; support tax and advisory needs.
Office Administration:
Keep the front desk and office organized, manage supplies/vendors, and support mail, recordkeeping, and team logistics.
Billing & Payments:
Process client payments, provide receipts, and support billing-related communications.
Compliance & Confidentiality:
Maintain high standards of client privacy, data security, and regulatory compliance.
Qualifications:
Prior office or front desk experience preferred, ideally in a professional services setting. Excellent communication and interpersonal skills. Fluent in English; Spanish-speaking is a plus. Strong attention to detail and ability to multitask. Comfort with digital tools and document systems (experience with TaxDome or QuickBooks a plus). Commitment to confidentiality and discretion.
