Job Description

Job Description The Sales Tax Specialist will support the Financial Accounting team with the collection, validation, tracking, and maintenance of customer sales tax exemption certificates. The primary focus of this role will be contacting customers by phone and email to obtain missing, updated, or expiring certificates and ensuring all documentation is complete and accurate based on applicable state requirements. The specialist will upload and maintain exemption certificates within the OneSource tax engine, verify that the appropriate tax-exempt status is applied to customer accounts, and resolve discrepancies between customer records, certificates, and system data.

This person will manage certificates across multiple states, recognizing that certificate requirements and expiration guidelines may vary by state. They will track outreach and follow-up activity, monitor upcoming expiration dates, maintain organized and audit-ready documentation, and generate status updates regarding completed and outstanding certificate requests. The role will partner with Tax, Customer Service, Sales, and Accounts Receivable teams to address exemption-related issues and may assist with additional compliance or data cleanup projects as needed.

This is a full-time contract position expected to last approximately six months or as needed. The position is hybrid and requires two days per week onsite. Skills and Requirements Experience with customer outreach and account maintenance via phone and email.

Strong data management and document control experience.

Advanced proficiency in Microsoft Excel and business systems/databases.

Strong attention to detail with the ability to validate records and resolve data discrepancies.

Sales tax, exemption certificate, or indirect tax experience.

Experience with Thomson Reuters OneSource, Avalara, or similar tax platforms.

Knowledge of state-specific exemption certificate requirements and compliance processes.
