SEIU GENERAL PURPOSE
Provides administrative and clerical support to the Housing/Rental Division within the Bureau of Building Standards & Safety. This position supports housing code enforcement, rental inspections, complaint processing, and presale programs by managing records, processing billing, responding to public inquiries, and assisting with division operations.
SUPERVISION RECEIVED
Under direct supervision of the Housing Supervisor.
SUPERVISION EXERCISED
May exercise supervision over no one.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provide administrative support for housing code enforcement, rental inspections, housing complaints, and presale programs. Process rental license applications and issue rental unit licenses. Prepare and process annual rental billing, including re-inspections, appeals, reinstatements, and related fees. Respond to inquiries regarding rental billing, inspections, licensing, and program requirements. Maintain and update property records, owner occupancy status, and rental databases. Collect, receipt, and process payments in accordance with City procedures. Compile, verify, and maintain fiscal, statistical, and administrative records. Prepare reports and assist with data tracking as required.2 Provide customer service via phone, email, and in person to property owners, tenants, contractors, and the public. Coordinate with inspectors, staff, and external agencies to obtain and provide information. Schedule meetings and prepare meeting minutes as assigned. Performs related work as may be required
MINIMUM QUALIFICATIONS
Education and Experience A. High school diploma or equivalent required. B. One (1) year of clerical, administrative, or customer service experience preferred. C. Municipal, housing, code enforcement, or permitting experience desirable. D. Equivalent combinations of education and experience will be considered. Technical Skills A. Proficiency in Microsoft Office (Word, Excel, Outlook). B. Experience with database systems and financial recordkeeping preferred. C. Ability to learn municipal software systems and internal databases. Knowledge, Skills and Abilities A. Knowledge of standard office procedures and business English. B. Ability to interpret and apply established policies and procedures. C. Strong organizational and recordkeeping skills. D. Ability to process billing and maintain accurate financial records. E. Strong written and verbal communication skills. F. Ability to handle high-volume public contact with professionalism and tact. G. Ability to manage multiple tasks and meet deadlines in a fast-paced environment.3 TOOLS
