This position is part-time (20-24 hours/week) from July through December and shifts to full-time (40 hours/week during our peak tax season from January through June.)
Key Responsibilities:
Office Administration Manage calendar, appointments, and email workflow for the CPA. Front desk reception, answer incoming phone calls (light call volume). Prepare the CPA for meetings (gather client data, prepare folders, and set up Zoom). Save meeting notes. Maintain the office environment, ensuring the coffee station, waiting area, and conference area are tidy. Assist with the production and dissemination of the quarterly newsletter. Handle light filing, order office lunches, and run local errands (post office, supply stores). Assist with annual client engagement contracts. Assist the Director of Operations with projects. Billing & Bookkeeping Scan, mail, and deposit checks (includes driving to the bank). Manage the quarterly billing workflow, including mailing invoices and logging payments into QuickBooks. Maintain and update recurring invoices in Square. Follow up on overdue payments with clients in a sensitive, professional manner. Tax Season Support Intake, organize, and process incoming client tax materials. Track and e-file completed tax returns; perform final processing on client folders. Distribute paper and electronic client tax organizers. Coordinate quarterly paper vouchers and email reminders for client estimated payments. Send info requests and organize incoming data for client 1099 forms and Property Tax Declarations. Required Qualifications Proficient in QuickBooks Accountant Online and Microsoft Outlook, Word, and Excel. Tech-savvy with the ability to quickly master new cloud-based software and portals. Exceptional communication skills; able to interact with clients clearly, concisely, and professionally. Proven ability to independently organize, prioritize, and problem-solve tasks for optimum efficiency. Strong attention to detail. Can-do attitude and willingness to help wherever needed. Valid driver's license and a reliable personal vehicle for local errands. Flexible availability with no time-off requests during peak tax season (Mid-February through Mid-April). Willingness to submit to a background check.
Pay:
$25.00 per hour
