Controller / Director of Finance Woodson Bend Resort — Bronston, Kentucky This job posting will remain open until filled. Woodson Bend Resort is seeking a full-time Controller / Director of Finance to lead the financial operations of a complex private resort and condominium association located on Lake Cumberland in Bronston, Kentucky. Woodson Bend is a private resort community consisting of approximately 480 individually owned condominium units, an 18-hole golf course, food and beverage operations, common-area amenities, private infrastructure, roads, water/sewer operations, boat storage, capital projects, reserve planning, and owner assessment responsibilities. This is not a basic bookkeeping position. We are seeking an experienced accounting and finance professional who can manage the full financial function of a multi-department resort and owner association environment. The successful candidate must be highly accurate, organized, ethical, and comfortable working with management, department heads, owners, vendors, outside CPA/auditors, and the Board of Directors. This position will include a structured six-month transition and training period with the outgoing Controller, who has served Woodson Bend for approximately 40 years. The purpose of this transition is to preserve institutional knowledge, document key processes, and ensure continuity of financial operations. Position Summary The Controller / Director of Finance is responsible for the accuracy, integrity, and timeliness of Woodson Bend's financial records, reporting, budgeting, accounting processes, internal controls, and financial compliance. This role oversees monthly financial statements, general ledger accounting, accounts payable, owner assessments and receivables, bank reconciliations, payroll accounting, cash management, reserves, capital project accounting, audit preparation, budgeting, forecasting, and Board financial reporting. The ideal candidate will be able to maintain strong accounting discipline while also helping leadership understand the financial condition of the Association, identify risks, improve processes, and support long-term planning. Essential Duties and Responsibilities Financial Reporting and Monthly Close Lead the monthly financial close process. Prepare accurate and timely monthly financial statements. Maintain the general ledger and ensure proper account coding. Prepare and review journal entries, accruals, prepaid expenses, depreciation, and recurring entries. Reconcile bank accounts, reserve accounts, balance sheet accounts, credit card accounts, loan accounts, and other key accounts. Prepare balance sheet, income statement, budget-to-actual, cash flow, reserve, and department-level reports. Review financial activity for accuracy, completeness, and proper classification. Provide clear financial reporting and explanations to the General Manager and Board of Directors. Maintain organized supporting documentation for all material financial activity. Budgeting, Forecasting, and Financial Planning Lead the annual budgeting process with the General Manager and department heads. Prepare operating budgets for administration, maintenance, golf, food and beverage, utilities, amenities, insurance, roads, and other departments. Track monthly budget-to-actual performance. Identify financial trends, cost pressures, revenue risks, and budget variances. Assist with long-term financial planning, reserve planning, and capital project forecasting. Prepare financial models and summaries for assessments, loans, major projects, and operating decisions. Support department heads in understanding and managing their budgets. Owner Assessments, Accounts Receivable, and Collections Maintain accurate owner account records. Oversee regular assessment billing and related owner charges. Track payments, credits, balances, late fees, and delinquent accounts. Reconcile owner receivables to the general ledger. Prepare delinquency and receivable reports for management and Board review. Assist with collection processes in accordance with policy and legal guidance. Respond to owner account questions professionally and accurately. Support closing, resale, payoff, and account status requests as needed. Accounts Payable and Vendor Payments Oversee invoice processing, approval routing, coding, and payment. Ensure invoices are properly supported and approved before payment. Maintain vendor records, W-9s, payment history, and supporting documentation. Review vendor payments for accuracy and proper classification. Track project invoices, deposits, retainage, contracts, and progress payments. Help prevent duplicate payments, miscoded expenses, and unauthorized expenditures. Coordinate 1099 information and annual reporting support as needed. Cash Management, Banking, Reserves, and Debt Monitor operating cash, reserve cash, capital funds, and project-specific funds. Reconcile all bank and investment accounts monthly. Track transfers between operating and reserve accounts. Maintain loan schedules, debt payments, and related financial records. Assist with cash flow projections and financing analysis. Coordinate with banks, lenders, and financial institutions. Help ensure Association funds are protected through strong internal controls. Audit, CPA, and Year-End Support Coordinate annual audit, review, compilation, tax, and CPA financial reporting work. Prepare schedules, reconciliations, reports, and supporting documentation for the outside CPA. Respond to CPA and auditor requests timely and accurately. Maintain annual audit files and permanent financial records. Record audit adjustments and implement recommended improvements where appropriate. Ensure financial records are maintained in an audit-ready condition. Internal Controls and Process Improvement Maintain and improve accounting policies and procedures. Strengthen internal controls over cash, purchasing, payments, deposits, owner accounts, and financial reporting. Review financial systems, workflows, and approval processes. Identify opportunities to reduce manual processes, improve accuracy, and increase efficiency. Document recurring accounting processes during the six-month transition period. Help ensure institutional knowledge is not dependent on one person. Protect confidential owner, employee, vendor, and financial information. Capital Project and Reserve Accounting Track capital projects separately from operating expenses. Maintain project budgets, approved funding, actual costs, commitments, invoices, change orders, and remaining balances. Prepare capital project financial reports for management and Board review. Track funding sources such as reserves, insurance proceeds, loans, special assessments, or operating funds. Reconcile project accounts monthly. Support financial analysis for repairs, replacements, infrastructure needs, and major improvements. Department and Resort Operations Accounting Provide financial reporting for golf, food and beverage, maintenance, administration, utilities, amenities, boat storage, and other resort/community operations. Reconcile departmental sales, deposits, credit card batches, and related financial activity. Monitor revenues, expenses, labor, inventory, margins, and department performance. Assist department heads with financial questions and budget management. Identify opportunities for improved reporting, cost control, and financial clarity. Board and Management Support Prepare monthly Board financial packets. Attend Board, Finance Committee, budget, or owner meetings as requested. Present financial information clearly and professionally. Explain financial results, variances, reserves, cash flow, capital project costs, and budget issues in plain language. Support the General Manager and Board with accurate financial data for decision-making. Maintain professionalism, neutrality, and confidentiality in all financial matters. Six-Month Transition Period This position includes a planned six-month transition period with the outgoing Controller. During this period, the incoming Controller will learn current processes, review historical practices, document recurring duties, assume increasing responsibility for monthly close and reporting, and complete a full knowledge transfer. The goal is to ensure continuity while also preparing the financial function for the future through improved documentation, stronger processes, and reliable reporting. Required Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. Minimum of 7-10 years of progressive accounting or finance experience preferred. Prior experience as a Controller, Assistant Controller, Accounting Manager, Senior Accountant, Finance Manager, or similar role strongly preferred. Strong knowledge of general ledger accounting, financial statements, reconciliations, accruals, accounts payable, accounts receivable, payroll accounting, and monthly close. Experience preparing financial reports and budget-to-actual reporting. Experience with annual budgets, forecasting, and financial analysis. Experience coordinating with outside CPA, auditors, tax preparers, or financial reviewers. Strong Excel skills. Ability to explain financial information clearly to non-financial leaders. High attention to detail and accuracy. Strong organizational and deadline-management skills. Ability to maintain confidentiality and handle sensitive financial information. Strong ethical standards and professional judgment. Preferred Qualifications CPA, CMA, MBA, or advanced accounting/finance credential highly preferred but not required. Experience in condominium association, HOA, POA, property management, hospitality, resort, club, nonprofit, utility, construction, or real estate accounting. Experience working with a Board of Directors or Finance Committee. Experience with owner/member assessments, reserves, capital projects, restricted funds, or special assessments. Experience with food and beverage, golf, pro shop, amenity, or multi-department operations. Experience with accounting software, property management systems, payroll systems, point-of-sale systems, and online payment platforms. The role is primarily office-based but requires regular interaction with department leaders, employees, vendors, owners, outside professionals, and Board members. Some evening or weekend meetings may be required for Board meetings, budget meetings, annual meetings, or other business needs. Compensation and Benefits Compensation will be based on experience, qualifications, and demonstrated ability to manage the financial complexity of a private resort and condominium association.
