OVERVIEW
The City of East Cleveland is seeking a highly organized, professional, and proactive Executive Assistant to cabinet members of the Mayor's office including but not limited to the Director of Executive Affairs, the Finance Director, and the Economic and Community Development Director. This role requires high-level administrative, operational, and project coordination support in a fast-paced government environment. The Executive Assistant serves as a central point of contact for the Mayor's Office, ensuring effective communication, scheduling, workflow management, and stakeholder engagement. Ideal candidates bring experience supporting multiple senior leaders, exceptional organizational skills, and a commitment to public service.
JOB SUMMARY
The Assistant Director performs and supervises the general accounting, governmental reporting and internal auditing activities. This person also assists in recruitment of personnel for the department.
ESSENTIAL FUNCTIONS
The supervision and training of Finance Personal Assist with training of department staff on use of financial software. Ensure the correct processing of revenues and expenditures to the appropriate bank accounts and monthly reconciliation are done in a timely manner. Maintains Operational reports and records of financial departments activities, including daily, monthly, and yearly reports. Post month end adjusting journal entries as needed. Performs reviews of expenditure and revenue detail reports for accuracy. Analyze monthly expenditures against set budgets to identify trends or overspending. Prepares monthly financial, statistical and any other requested reports. Assists with finding grant opportunities and writing applications. Ensures all financial reporting requirements for all state and federal grants are met. Provides financial information to other departments to assist in completion of reporting requirements for all state and federal grants. Work as petty cash custodian and adhere to its policies and procedures. Point person for annual financial audits, which includes coordinating with internal staff and external auditors to meet required deadlines. Coordinates with GAAP conversion team, which includes providing required reports and supporting documentation. Supports internal controls and recommends process improvements. Acts as a secretary for any ad hoc financial committees or subcommittees as needed. Represents the city at various meetings and functions as needed. Demonstrates accountability and responsibility for completion of work assignments and provides responsive and timely feedback on status of assignments. Maintains the system for tracking and reporting of capital assets. Backup to AP, AR, and payroll responsibilities. Other duties as assigned.
QUALIFICATIONS
Undergraduate degree in accounting, finance, or a related field. Three or more years of progressively responsible experience in municipal finance management and supervision of staff. Strong background in knowledge of governmental accounting principles, budgeting practices, and financial reporting standards Excellent computer, analytical and communication skills. Knowledge of Microsoft Office products, including high proficiency with use of Excel.
SALARY RANGE
$65,000-$75,000
Pay:
$65,000.00 - $75,000.00 per year
