Job Description

The Director of Finance and Administration is responsible for hands-on oversight of all office operations, including bookkeeping and general accounting, human resources, and general office management. This position is also responsible for grants management and finance committee communications. This role reports to the Executive Director, who reports to the Board of Directors. Since 1913, PARL has been a haven for hundreds of thousands of animals in need in the Greater Providence area and beyond. As an open-admission shelter, we practice managed intake and aim to help every community member when they face the difficult decision to surrender their pet. We also take in stray animals when our shelter is the appropriate and only option for them. Although PARL is not contractually obligated to assist our state's animal control facilities, we routinely do so because we believe that a strong partnership between animal welfare organizations is vital to our mission.
JOB DUTIES
Summary of Primary Job Responsibilities and Duties Financial:
  • Direct and manage the organization's financial and accounting responsibilities, including compliance with relevant tax and accounting laws and regulations and internal controls
  • Data entry and management of AR / AP and reimbursement
  • Handle correspondence concerning accounts payable, accounts receivable, invoicing, credit card administration, and other financial transactions
  • Process payroll weekly and oversee payroll vendor's handling of monthly, quarterly, and annual tax filings
  • Oversee annual audit prep and liaise with outside accounting firm to finalize annual 990.
  • Updating, maintaining, and reporting through QuickBooks and Excel chart of accounts/products/services/departments as needed
  • Monthly bank reconciliation and financials presented to Executive Director
  • Prepare quarterly financials/support to finance committee
  • Work with Executive Director and department leaders to establish annual budget
  • Budget forecasting in communication with Executive Director and department leaders
Human Resources:
  • Manage the onboarding and offboarding to include recruiting and hiring process, day-to-day employee relations, and benefits for approximately 20 full-time and part-time employees.
  • Benefits administration (e.g., health insurance and retirement coverage)
  • Timesheets and Paid Time Off (PTO) management
Operations:
  • Perform operational analysis on internal systems and processes to improve efficiency, including managing utilities, insurance audits, vendor management, commercial insurance management, licenses, and government registrations in general
  • Perform additional responsibilities related to the success of the organization
SKILLS REQUIRED
  • Bachelor's degree in business or accounting highly preferred
  • Combined minimum 1-3 years related experience in accounting, human resources, and office management; Any combination of relevant education and experience that demonstrates the ability to perform the work successfully
  • QuickBooks or related software plus accounting / financial analysis and reporting experience required
  • Advanced in MS Office skills, especially Excel required
  • Effective oral and written communication
  • Proactive and organized with attention to detail
  • Acts with integrity and diplomacy handling confidential matters
  • Nonprofit experience a plus
  • Monday through Friday 9:00 AM - 5:00 PM generally

ADDITIONAL INFO
Compensation Package including health, dental, life insurance, LTD, paid time off, paid holidays, and retirement contributions! Wages range from about $80,000 to $95,000 per year, depending on relevant credentials and work experience.
