Job Description
We are seeking an experienced, hands-on Controller to oversee the financial operations of a growing independent auto auction in South Texas. This position will be responsible for maintaining accurate financial records and overseeing accounting processes. The ideal candidate understands the unique financial and operational environment of the automotive auction industry, including vehicle sales, dealer transactions, auction fees, titles, floor plans, accounts receivable/payable, and high-volume cash and electronic transactions. This is a key leadership position for a detail-oriented accounting professional who can work independently, establish strong internal controls, and partner closely with ownership and auction management. Key Responsibilities Accounting & Financial Management Manage the day-to-day accounting and financial functions of the auction. Maintain accurate general ledger accounts and financial records. Oversee accounts payable, accounts receivable, cash receipts, deposits, and disbursements. Assist monthly financial statements, including profit & loss, balance sheet, and cash-flow reporting. Reconcile bank accounts and other financial accounts on a timely basis. Establish and maintain appropriate accounting policies and procedures. Auto Auction Operations Oversee accounting for vehicle sales, buyer and seller fees, transportation charges, reconditioning, and other auction-related revenue and expenses. Reconcile auction sale activity to accounting records. Monitor dealer and commercial customer accounts and ensure timely collection of receivables. Work closely with auction management to identify discrepancies between operational and financial records. Understand and monitor flooring, vehicle inventory, and other financing arrangements as applicable. Internal Controls & Compliance Develop and maintain effective internal controls to safeguard company assets. Monitor cash handling, check issuance, electronic payments, and other financial transactions. Review transaction activity for accuracy, unusual items, and potential fraud or loss. Ensure compliance with applicable accounting, tax, payroll, and regulatory requirements. Assist with annual tax preparation, audits, budgets, and financial planning. Payroll & Human Resources Support Oversee or coordinate payroll processing and related reconciliations. Maintain accurate payroll records and ensure timely payment of payroll taxes and related obligations. Work with management on employee-related financial reporting and benefit administration as needed. Management Reporting Provide ownership and senior management with accurate and timely financial information. Analyze revenue, expenses, margins, and operating trends. Identify opportunities to improve profitability, cash flow, and operational efficiency. Qualifications Bachelor's degree in Accounting, Finance, Business, or a related field preferred. 5+ years of progressive accounting or financial management experience. Controller, Assistant Controller, Accounting Manager, or senior accounting experience strongly preferred. Automotive dealership, auto auction, transportation, fleet, or other high-volume transaction experience is a significant plus. Strong understanding of GAAP and financial reporting. Experience with QuickBooks Online Enterprise accounting software, QuickBooks Desktop and Microsoft Office. Strong analytical, organizational, and problem-solving skills. Ability to maintain confidentiality and exercise sound judgment. Excellent communication skills and the ability to work effectively with ownership, management, employees, dealers, vendors, and financial institutions. Bilingual English/Spanish is strongly preferred for the South Texas market. Preferred Experience Candidates with experience in any of the following will be highly valued: Independent or wholesale auto auctions Automotive dealerships Vehicle titles and inventory accounting Dealer receivables and settlements High-volume cash and electronic payment environments DMS or auction-management software CPA firm or public accounting experience Internal controls and fraud prevention Leadership Expectations The Controller will be expected to be a hands-on business partner, not simply a back-office accountant. The successful candidate will be comfortable working in a fast-paced auction environment, communicating directly with ownership, identifying problems before they become significant issues, and implementing practical solutions. The position requires a high level of integrity, accountability, attention to detail, and discretion, particularly when handling company funds, dealer accounts, vehicle transactions, payroll, and sensitive financial information.
