In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience from the moment they arrive. Your energetic approach and organizational skills will help maintain efficient office operations, manage multi-line phone systems, and support various administrative functions. This paid position offers an exciting opportunity to develop your office management expertise while delivering exceptional customer service in a fast-paced environment. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems with professionalism, providing accurate information or routing calls efficiently. Handle incoming emails, messages, and inquiries with promptness and clarity. Maintain organized reception areas, including filing, data entry, and document proofreading to ensure accuracy. Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Utilize computer skills across Microsoft Office Suite, Google Workspace, and other relevant software to support daily operations. Perform clerical duties including data entry, filing, proofreading, and maintaining office supplies inventory. Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed. Provide customer support by addressing inquiries professionally and courteously via phone or in person. Uphold excellent phone etiquette while managing busy reception areas and supporting administrative staff as a personal assistant or medical/dental receptionist if required. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Exceptional customer service skills combined with professional phone etiquette and communication abilities. Bilingual abilities are highly desirable to serve diverse client needs effectively. Previous experience working with multi-line phone systems and handling front desk responsibilities preferred. Knowledge of bookkeeping software such as QuickBooks is a plus; experience as a personal or medical/dental receptionist is advantageous. Ability to manage time effectively while prioritizing tasks to ensure smooth office operations.
