This role is vital in creating a positive impression and ensuring smooth daily operations. As a Front Desk Agent, you will manage front desk activities, handle multi-line phone systems, coordinate appointments, and provide exceptional customer service. Your organizational skills and attention to detail will help maintain an efficient office environment while supporting administrative functions. This paid position offers an exciting opportunity to develop your office management skills in a fast-paced setting. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Answer, screen, and direct incoming calls using multi-line phone systems with professionalism and courtesy Manage appointment scheduling and calendar management using various software tools such as Google Workspace and Microsoft Office Handle data entry, filing, and document proofreading to maintain accurate records and streamline office operations Assist with clerical tasks including photocopying, faxing, mailing, and organizing files Support office management by coordinating supplies, maintaining cleanliness, and ensuring the front desk area is organized Provide customer support by addressing inquiries efficiently and professionally while demonstrating excellent phone etiquette Qualifications Proven experience in office management or administrative support roles, preferably as a receptionist or dental/medical receptionist Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to multitask effectively in a busy environment Bilingual abilities are highly desirable to assist diverse clientele Experience with QuickBooks or bookkeeping is a plus but not required Demonstrated customer service skills with a friendly attitude and professional demeanor Knowledge of clerical procedures such as filing, proofreading, and time management techniques Ability to handle multi-line phone systems confidently while maintaining excellent phone etiquette Personal assistant experience or experience managing calendars is advantageous Join our team to be part of an energetic environment where your organizational talents and customer service skills can shine!
