Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience from the moment they walk through the door. Your energetic approach and excellent organizational skills will help maintain smooth office operations, manage communications effectively, and support various administrative functions. Responsibilities Greet visitors warmly and professionally, directing them appropriately and ensuring they feel valued. Manage multi-line phone systems with courteous phone etiquette, screening calls and transferring messages accurately. Handle incoming and outgoing correspondence, including emails, mail, and packages, utilizing Microsoft Office, Google Workspace, and other office management tools. Maintain organized filing systems, data entry records, and ensure accurate document proofreading for clarity and correctness. Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings efficiently. Assist with clerical duties including photocopying, faxing, filing, and updating databases to ensure seamless office operations. Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining a positive attitude. Skills Proven experience in office management or administrative support roles with strong organizational skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools. Familiarity with multi-line phone systems and phone etiquette to handle calls confidently. Bilingual abilities are highly desirable to serve diverse client needs effectively. Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks. Strong typing skills combined with attention to detail for proofreading documents accurately. Previous experience as a dental or medical receptionist or personal assistant enhances understanding of specialized front desk procedures. Demonstrated time management skills to prioritize tasks efficiently in a fast-paced environment.
