Job Overview We are seeking a dynamic and friendly Front Desk Staff member to be the welcoming face of our organization. In this vital role, you will manage front office operations, serve as the first point of contact for visitors and callers, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive environment while supporting daily office functions. Duties Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the facility Operate multi-line phone systems efficiently, answer inquiries, transfer calls, and take detailed messages Manage appointment scheduling and calendar coordination using digital tools like Google Workspace or Microsoft Office Handle data entry tasks accurately, including filing, record keeping, and updating databases such as QuickBooks or other office software Support office management by organizing files, proofreading documents, and maintaining supply inventories Provide exceptional customer service by addressing questions promptly and professionally Perform clerical duties such as photocopying, scanning, and preparing correspondence to ensure seamless office operations Skills Proven experience working at a front desk or in an administrative support role with strong organizational skills Excellent phone etiquette with the ability to manage multi-line phone systems confidently Bilingual proficiency is highly desirable to serve diverse clients and visitors effectively Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Strong clerical skills such as filing, proofreading, and document management Knowledge of office management practices including calendar management and bookkeeping with QuickBooks or similar software Exceptional time management skills to prioritize tasks efficiently in a busy environment Previous experience in customer service or customer support roles that require patience and professionalism Personal assistant experience or familiarity with administrative tasks like scheduling meetings or managing correspondence is a plus Join us to be part of a vibrant team dedicated to delivering outstanding service while supporting the smooth operation of our organization.
